About the Job
Highly motivated and hands-on Facilities Manger to oversee the maintenance and operations of our facility. The Facilities manager will be responsible for ensuring the cleanliness, safety, and functionality of our buildings and grounds, with a particular emphasis on hands-on management and appropriate planning, including execution of a master cleaning schedule. Supervise the daily activities of workers engaged in facilities maintenance while also maintaining all necessary machinery and equipment to support the daily running of the facility. Ensure preventative maintenance plan of the building and its equipment is carried out.
KEY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
- Facility Maintenance
- Manage day to day maintenance and repair activities for our distribution center and meal production facilities, including equipment, machinery, and infrastructure.
- Conduct regular inspections to identify maintenance needs, safety hazards, and cleanliness issues, and coordinate with internal and external resources to address them promptly.
- Maintain a maintenance management system to track the preventative and corrective maintenance of all HVAC, MHE, and other major equipment and determine life cycle planning of critical equipment.
- Responsible for the delivery of on-site facilities and utilities maintenance operations, infrastructure management, compliance and facility services and provide support to facilities and utilities projects, energy initiatives, asset management, reliability, and business operations management.
- Cleaning and Sanitation
- Maintain a master cleaning schedule for all areas of the distribution center, meal operations and office areas, ensuring compliance with food safety standards, regulations, and organization expectations.
- Train and supervise custodial staff, providing guidance and support to ensure proper cleaning protocols are followed, and sanitation standards are met.
- Security System
- Enforce safety protocols and procedures to ensure a safe working environment for staff, volunteers, and visitors.
- Collaborate with safety team to monitor access controls, surveillance systems, and emergency response protocols, ensuring the security of the facilities and all occupants.
- Space Planning and Utilization
- Manage space planning and utilization efforts to optimize the use of available space and resources across the entire facility.
- Coordinate facility layout changes, equipment installation, renovations, ensuring minimal disruption to operations and production schedules.
- Vendor Relations
- Maintain positive relationship with outside vendors and service providers, including the landscape company responsible for grounds.
- Coordinate vendor activities and schedules to ensure timely and efficient service delivery, minimizing disruptions to operations.
- Communicate facility maintenance and service needs to vendors, providing clear instructions and expectations for quality timeliness of work.
- Monitor vendor performance and adherence to service agreements, addressing any issues or concerns promptly and effectively.
- Collaborate with procurement and finance departments to negotiate contracts, pricing and terms with vendors, seeking cost effective solutions while maintaining service quality and reliability.
- Staff Management
- Supervise and provide leadership to custodial and facilities staff, including hiring, training and performance management.
- Assign duties and responsibilities to staff members, ensuring coverage for all essential tasks and areas of responsibility.
- Conduct regular staff meetings and trainings sessions to communicate goals, expectations, and updates related to facility operations.
- Foster a positive and collaborative work environment, promoting teamwork professionalism, and continuous improvement among staff members.
- Facility Presentation
- Execute strategies to enhance the presentation and appearance of the facility, both internally and externally.
- Ensures that all areas of the facility, including offices, common areas, and production areas, are clean, well-maintained, and visually appealing.
- Coordinate with custodial staff to establish cleaning schedules and protocols that support high standards of cleanliness and hygiene.
- Oversee the maintenance of landscaping and outdoor areas, ensuring that grounds are well manicured and welcome visitors.
- Collaborate with marketing and communications teams to showcase the facility to external stakeholders, including donors, partners and community members through tours, presentations, and other outreach efforts.
- Budget Management
- Coordinate the facilities budget including monitoring cost and identifying opportunities for cost savings.
- Prioritize spending to address critical maintenance needs and ensure the long-term sustainability of facility operations.
- Minium 3 years’ experience in facilities management, with hands-on approach to facility maintenance and operations, preferably in a food distribution or production environment.
- Knowledge of cleaning and sanitation protocols, safety regulations, and food safety standards.
- Experience supervising cleaning staff and coordinating with external vendors and contractors.
- Strong planning, organizational and problem-solving skills.
- Excellent communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
- Expertise or familiar with sustainability practices and initiatives is highly valued.
- CMMS (Computerized Maintenance Management System) experience
- BAS System experience (i.e. Trane Tracer preferred)
- Administrative abilities for invoice processing, labor time keeping, supply management practices and record keeping, and general warehouse document processing.
- Technically proficient in operations of Building Management Systems Life Safety Systems
- CMMS Microsoft Office Power Point & Microsoft Office software
- Develop and monitor operational budget for both internal and contracted resources.
- Able to clearly demonstrate resilience and the ability to collaborate effectively with peers and management to build allies astutely when and where appropriate while maintaining key principles.
- Attention to details is important with an ownership attitude.
- Functions as a “troubleshooter” – Providing timely responses to urgent issues when and as they arise, to assure operations productivity is not negatively impacted, and to minimize “down time”.
