Job Title: Local Leave Administrative Coordinator
Overview
The EHS Local Leave Coordinator reports to the EHS Manager. The Local Leave of Absence (LOA) Coordinator is responsible for the day to day administration of company leaves of absence. Administers leaves in accordance with company policy and in compliance with FMLA, ADAAA, and any federal and state laws. This individual will serve as the subject matter expert for all federal and state leaves including but not limited to FMLA, STD, LTD, ADA and Military Leaves. The Leave Coordinator will support employees and HR Professionals in all aspects of the leave management process.
Essential Functions
Daily Tasks:
- Administers Military, FMLA and/or STD leave in partnership with a Third Pary Administrator (TPA).
- Provides guidance and explanation of responsibilities for management teams and/or associates who request or inquire about a leave of absence.
- Identifies associates leave of absence needs, determines eligibility and directs accordingly.
- Serves as a subject matter expert for leave programs, providing guidance and support throughout the leave process.
- Updates and maintains associate's leave of absence time and status in HRIS system.
- Maintains complete and accurate records in accordance with specified legal requirements and documentation of best practices
- Maintains confidentiality and privacy of associate information and company data.
Other Responsibilities:
- Collects and organizes all Personal Leave of Absence documentation needed to make an allowance determination. Once determination has been made, provides follow-up and notifications to associates.
- Utilize laws and regulations to determine compliance with FMLA and provide oversight to TPA effectively protecting the organization's liability.
- Functions as liaison between Internal Stakeholders (i.e. HR, Management, Associates) and External Stakeholders (i.e. TPA)
- Provides leave (FMLA, STD, PLOA, Military) and safety shoe reimbursement education to Company New Hires at Orientation.
- Advises manager and HR on potential issues and resolutions.
- Keeps informed of state leave laws, FMLA, HIPAA, and regulatory federal and state laws regarding leave of absence.
- Assists in updating procedures as necessary.
- Maintains appropriate contact with associates on leave and coordinates return to work for associates on leave
- Serves as the departmental Record Retention Representative
- Tracks and maintains safety shoe reimbursement program/subsidy between associates, payroll, and vendors.

Preferred Credentials
Qualifications (experience may include a combination of work experience and/or education)
- One - two years of administrative experience.
- Workforce Absence Management knowledge of absence issues, applicable employment laws and Hands-on leave or claims administration experience highly preferred.
- Strong understanding of state leave laws, FMLA, ADAA, HIPAA, and Worker's Compensation laws and how they impact employer leave of absence.
- Knowledge of compliance with documentation, tracking and determining FMLA eligibility
- Intermediate computer skills including Microsoft Office programs (i.e. Excel, PowerPoint, Word, etc.)
- Willing to travel up to 20%
- Must be flexible to work different hours as needed by the department / business.
Education
- High school diploma or GED is required.
Language
- English is required.
