Executive and Operations Assistant at Beacon Hill

Our client, an investment firm located in Boston, is seeking an Executive and Operations Assistant to join their team through April. The hours for this role are 8:30am to 5:30pm and it is compensating up to $37 an hour, depending on experience. Responsibilities:

• Schedule and coordinate internal/external meetings
• Plan travel and make revisions as needed
• Complete monthly travel expenses including receipt management
• Conference management including registration, briefing books, and Salesforce management
• Telephone coverage with strong gate-keeping execution
• Manage conference room scheduling and A/V set up
• Assist with IT support needs
• Personable interaction with C-level individuals; act as the point person for visiting executives
• Sort and distribute incoming and outgoing mail and FedEx packages
• Manage print room inventory and order office supplies as necessary
• Assist with office set up and breakdown during employee onboarding and offboarding
• Perform special projects as needed

Qualifications:

• Bachelor's degree required
• Minimum of 2+ years of experience as an administrative professional; demonstrated leadership and customer service experience
• Detail orientated, extremely organized and efficient in work quality; ability to problem solve and multi-task in a fast-paced environment
• Anticipates issues and takes appropriate action to ensure the most effective use of time
• Strong interpersonal and communication skills; ability to interact with personnel/guests at every level
• A positive and professional attitude; flexibility to accommodate last minute changes
• Independent self-starter who thrives in a team environment
• Strong judgment and discretion regarding confidential issues/materials
• Proficiency in Microsoft Office with experience in Microsoft Word, PowerPoint and Excel
• Experience in Salesforce and/or Concur is a plus
