UC Health is hiring a full time Executive Office Coordinator
This role will provide executive level support for the Chief Executive Officer and coordinates the executive support staff in the executive office including establishing office protocols, cross coverage needs and other items to ensure the executive office runs smoothly. Coordinates high level projects to timely, accurate completion. Prepares correspondences, reports using Microsoft One Note for executive briefs, Excel databases, PowerPoint presentations, including developing charts/graphs, conduct necessary research on topics with preparation of briefs, screens telephone calls, manages the CEO's calendar, and otherwise supports the efficient operations of the CEOs office. Interact with all levels of executive leadership, management, Board, community donors, and other community leaders. In coordination with the internal communications team, prepares speeches, press releases, announcements, scripts for event presentations, and other public communications for the CEO. Function with limited supervision and exercises independent judgment in the completion of the duties and responsibilities. Serves in support of the Sr Executive Assistant that has responsibility to the board to include supporting that administrator as back up for preparation of Board meetings and logistics including board agenda, board portal management, distribution of meeting materials, and scribes Board minutes.

Responsibilities
Executive Support for the CEO:
• Organizes and manages the CEO's office with independent judgment and decision-making skills
• Independently research and schedule complex meeting arrangements across multiple time zones and stakeholders
• Exercise judgment in determining scheduling priorities and managing conflicts
• Independently manage and make decisions about executive's time by screening requests and maintaining efficient scheduling protocols
• Organizes and manages the CEO's office with independent judgment and decision-making skills.
• Research, analyze, and present relevant background information on meeting participants and companies and present findings to the CEO to adequately prepare them for upcoming meetings and commitments
• Analyze lengthy reports or documents to prioritize relevant information and create executive summaries
• Highlight critical discussion points and action items from previous interactions
• Maintain a database of briefing notes and meeting outcomes for future reference
• Exercise discretion in flagging potential conflicts, sensitivities, or special considerations for each engagement
• Manage executive's email inbox, draft responses, and handle correspondence independently when appropriate
• Identify and escalate priority matters requiring immediate attention
• Filter and prioritize incoming communications and requests
• Independently represent the CEO's interests on social media presence management as needed
• Serve as a key liaison between the executive and internal/external stakeholders
• Arrange complex domestic and international travel itineraries
• Handle last-minute changes and travel emergencies
• Provide on-call support during executive's travel as needed
Administrative and Project Support for the CEO:
• Serves as the senior most administrator in the executive offices helping coordinate or organize special events, retreats and other offsite events or celebrations for Board Members, Executive Office senior executives, and associates.
• Responsible for coordinating and triaging all patient and employee complaints incoming to the President about quality of care, billing services, and employee satisfaction
• Strives to enhance knowledge of system initiatives on a continuing basis so that efficiency is maintained
• Support project management initiatives by tracking deliverables and deadlines
• Prepare and edit presentations, including PowerPoint decks
• Coordinate and execute both internal and external events
• Monitor project progress and provide regular status updates
• Facilitate internal team communications regarding project milestones
Partnership with other Executive Administrators:
• Responsible for Coordination of the Executive Office for supply needs, common area equipment failure, and environmental/facility issues
• Partner with other senior executives and administrators within the Exec. Office to ensure cross coverage is managed including back up for other administrators, front desk coverage, supporting ELT events and/or projects and other relative activity
• Provides support and back up for the Administrator for the Board and supports other subcommittees of the board as needed
• Provides organizational support for Executive Office assistants as needed

Qualifications
- Minimum Required: Bachelor degree in business or related field preferred.
- 5 to 7 years of executive level support experience supporting an executive team in a health care or corporate business setting demonstrating high levels of professionalism and discretion. Prior experience working with non-profit Boards preferred.
