It is the responsibility of the Executive Assistant to pro-actively work with the President/CEO of Neumont College of Computer Science to assure timely fulfillment of College, Business, and Community responsibilities and to include institutional compliance. Professional judgement and a firm commitment to professional time management practices will contribute to effective collaboration on prioritization and completion of the President/CEO’s responsibilities. Organization, adaptability, mutual trust and cooperation are essential for success.
TASKS, DUTIES & RESPONSIBILITIES, INCLUDING BUT NOT LIMITED TO:
Support for College President/CEO
President/CEO Schedule

- Help President track action items and TODOs for him and his immediate staff.
- Manage President’s calendar and arrange/reschedule meetings as necessary.
- Strive to ensure the best utilization of the President/CEO’s time.
- Touch base with the President/CEO daily to confirm and tasks or responsibilities due.
- Screen and answer emails to President@neumont.edu.
- Greet visitors whenever possible and set schedule expectations.
Meetings and Meeting Preparation

- Coordinate meetings at the request of the President/CEO.
- Take accurate, concise meeting minutes and track action items.
- Ensure that the President/CEO has documents/materials and any necessary information in advance of meeting to allow adequate preparation.
- Brief President/CEO on attendees in advance.
- Assist in any way needed to get materials ready for:
- Board Meetings
- Executive Group Meetings
- All Hands Meetings and Town Halls
- Other meetings as needed
- Coordinate meeting space, food, AV needs and other amenities as requested.
Liaison

- Represent the President and senior staff on and off campus, exemplifying professionalism and Neumont’s values.
Travel Planning
-
- Coordinate travel for President/CEO as requested.
- Schedule President/CEO for conferences when requested.
- Ensure adequate travel time to/from meetings, etc.
- Prepare complete travel information folder for each trip.
File Creation and Record Retention for President/CEO’s Office

- Maintain digital files for the office of the President/CEO.
- Periodically collaborate with the President/CEO on file clean-up and editing.
- Draft business correspondence (letters, memos, emails) in style and form acceptable to the President/CEO -
- Present to President/CEO for revisions and/or approvals.
- Create Excel spreadsheets and PowerPoint presentations as requested.
Other

- Orientation
- HR Sanctioned activities such as All Hands and Town Halls
Compliance at Neumont
- Establish institutional procedures to document adherence to accreditation standards.
- Prepare documents for accreditation applications.
- Monitors and maintains a NCCS institutional compliance task calendar.
- Verifies that all institutional compliance tasks are being completed on time, in accordance with the compliance calendar, and at a high standard across all departments. This is accomplished through direct task notification and interaction with responsible department directors.
- Conducts company-wide department audits to ensure that policy and procedures are in place.
- Manages the publication of the annual Course Catalog coordinates between all college departments to ensure proper evaluations are conducted regarding the Course Catalog and that published policies are clear, concise, and transparent.
- Manages completion of the annual IPEDS surveys.
- Notifies Marketing of updates to disclosures on website, including updates to “Student Right to Know” disclosure, graduation and employment rates, student diversity data, and other changes to verbiage as regulations are updated.
- Prepares and submits all accreditation annual reports.
- Fulfills requirements to maintain all applicable state authorization, NC Sara distance education authorization and California state authorization.
- Coordinates strategic planning process.
- Responsible for the oversight of the Neumont Operations Manual.
- Performs regular reviews of operations manual (semi-annually) and coordinates with various department directors to ensure processes and policies are current and in compliance with all applicable regulations.
- Assists in updating policies and procedures when new regulations go into effect.
- Works to remain current on all accreditation findings and changes.
QUALIFICATIONS AND POSITION REQUIREMENTS:
Education and Experience
- Associates Degree or certificate from a secretarial program.
- Five years’ experience in an Executive Assistant level position.
- Experience with Microsoft Office (Excel, Word and Outlook) required.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Excellent public relations and interpersonal skills
- Professional writing skills including correct use of grammar and punctuation.
- Excellent verbal communications skills.
- Ability to demonstrate discretion and maintain confidentiality.
- Excellent time management and organizational skills.
- Ability to maintain self-control and complete tasks with frequent interruptions.
- Ability to make decisions and complete assignments without close supervision, or constant direction.
- Ability to work independently and self-motivated; also work cooperatively with other office staff.
- Accurate, efficient and capable of handling detailed work assignments.
- Ability to demonstrate discretion and maintain confidentiality.
- In-depth knowledge of accreditation standards (helpful).
