In this position, your responsibilities will include overseeing all aspects of the listing process, maintaining high-level communication with sellers and teammates, marketing and social media, organizing and maintaining documentation, and managing the reception area and the front office among various other objectives.

Responsibilities
- Collect listing materials (photos, profiles, pre-listing materials, MLS research).
- Secure signatures on listing agreements and required documents; ensure brokerage compliance.
- Communicate efficiently with all parties and team members.
- Schedule sign and lockbox installations.
- Post listings on MLS and social media to ensure quick sales and excellent client experiences.
- Create marketing materials (brochures, postcards, newsletters, campaigns).
- Track and manage listing activities, appointments, and client interactions in CRM.
- Confirm showings, gather feedback, and communicate with agents and sellers.
- Maintain daily follow-up on listings and tasks.
- Manage social media content and engagement across platforms.
- Handle incoming calls and leads, routing them to appropriate team members.
- Assist in planning and hosting client/vendor events.
- Notify agents of interested buyers and potential offers.
- Ensure team compliance with required documentation.
- Create and update CRM campaigns and automated plans.
- Conduct quality checks for listing documentation.
- Provide exceptional client care by addressing questions, concerns, and requests promptly.
- Build and nurture strong relationships with clients to ensure a positive experience.
- Facilitate smooth communication between clients and the real estate team.
- Act as a primary point of contact for clients, offering updates and progress reports.
- Ensure all client interactions reflect the team’s commitment to a FIVE-STAR experience.
- Anticipate client needs and proactively address potential issues.
Qualifications
- 3+ years of administrative or client care experience.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint), Adobe Acrobat, Gmail, Google, and Dropbox.
- Tech-savvy with expertise in social media platforms.
- Excellent grammar, spelling, and proofreading skills.
- Exceptional organizational and project management abilities.
- Logical problem-solving with a proactive attitude.
- Optimistic, emotionally aware, and dependable.
- Thrives in a fast-paced environment with the ability to prioritize and meet deadlines.
- Detail-oriented with a focus on delivering a seamless client experience.
- Skilled in building relationships and providing outstanding customer service.
- Ability to anticipate client needs and address them effectively.
