Job Description:
Our client, the CEO and Founder of a global charitable foundation, is seeking a poised, high-energy, and dynamic Executive Assistant to join his team in Stamford, CT, and NYC. The Executive Assistant will provide high-level administrative support to the CEO/Founder.
Location: 5 days onsite
M/T/F: Stamford, CT
W/Th: NYC
Hours: 8:30 am - 5:30 pm
Salary: $140+
Essential Functions:
- The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO.
- Maintain the CEO’s schedule of meetings and events, prepare travel including international documentation requirements; and provide regular scheduling updates as needed.
- Provide office support for the CEO including maintaining supplies, processing department mail, responding to emails; and maintaining a system for disseminating and recording correspondence while maintaining strict confidentiality of sensitive information.
- Attend meetings as required to take notes and support the CEO.
- Respond to requests for information on behalf of the CEO and properly direct current and prospective donor inquiries.
- Plan and coordinate various meetings and events as needed by organizing facilities, catering, transportation, equipment, entertainment, invitee list, attendees' name tags, and written materials.
- Act as the point of contact between the executives and internal or external colleagues.
- Assist other senior executives and special projects as needed
- Additional duties as necessary.
- Some travel required.
Requirements:
Experience Required: - Bachelor’s degree required.
- Minimum 2-3 years of high-level administrative support to a CEO, Founder, or UHNWI
Characteristics/Skills Required: - Must be available to work overtime as needed
- Ability to travel up to 10%
- Exceptional writing and interpersonal skills.
- Proactive, anticipate the next action, and work with minimal instruction.
- High emotional IQ.
- Passionate about the organization’s mission.
- Well-organized, proficient multitasker.
- Independent self-starter.
- Ability to prioritize and meet deadlines.
