We are seeking a nimble, organized professional to provide comprehensive administrative support to our Equity & Fixed Income Analysts, Strategists, Economists, associates and officers within Research North America.

RESPONSIBILITIES
The primary responsibilities of a Research Executive Assistants are to provide phone support and travel, calendar & expense management.
Responsibilities include but are not limited to:
- Phone Support: Answer and direct calls as necessary, take accurate messages, deliver messages in a timely fashion. Phone etiquette (both verbal & written) is a key component. Back up phone support is a major function
- Calendar Management: Schedule in person and virtual meetings for clients, corporates, internal constituents. Proactively manage conflicts, know when to escalate. Defer to personal calendar style of officers you are supporting (color coding, desk work, etc.)
- Expense Management: Follow Firm and Research Department policy guidelines to expense activity including but not limited to travel, client entertaining, internal teambuilding, overtime meals, etc. Manage Corporate American Express account payment, delinquency status, Concur submissions, etc. Prepare expense reports accurately and in a timely fashion
- Travel Management (domestic & global) - Arrange all aspects of travel to include flights, hotel, car rental, car reservations, visa applications, travel profiles. Seek approvals and exceptions as necessary in compliance with Firm and Research specific travel guidelines. Prepare itineraries
- Basic Administrative Duties - liaise with reprographics, prepare and ship meeting decks, serve as back up support to admin colleagues both in Alpharetta & NY, adhoc projects, conference rooms bookings, hotel desk reservations, conference room reservations, etc.
- Project work as necessary might include tech marketing campaigns, assistance with marquee sector conferences, liaise with our Investment Banking team around deals and education, expert vetting, logging interactions, public appearance vetting, etc.
- Maintain and build rapport remotely with your internal clients (EDs, VPs, Associates and mentor admins based in NY WW Headquarters)
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Research analyst exercising judgement to reflect the analysts style, preference while adhering to Firm and Research specific polices & guidelines
- Be a resource for creating efficiencies when executing tasks and resolving potential issues using Firm resources and technology. Learn how to navigate, manage up, when to ask questions, when to escalate
- Back up administrative colleague support is a major component of the role
- Bachelor's Degree
- 3-5 years professional, corporate experience in a fast paced environment
- Applicants must be tech savvy
- Technical Proficiencies: Microsoft Office Applications, Excel, PowerPoint, Virtual Video Conferencing (Zoom, WebEx, Teams)
- Excellent Interpersonal Skills
- Self-starter
- Phone Etiquette - Both Verbal and Written Communication
- The ability to multitask and prioritize
- Adept with time management
- The ability to work well with all levels of internal MS management, colleagues, mentors, clients, corporates, vendors, etc.
- Entrepreneurial spirt - teamwork oriented - collaborative in nature

- Financial Services experience
- Equity Research and/or Fixed Income Research experience
- Client Service Industry experience
- Project coordination
