Position Summary:The Global Real Estate Assets and Transportation (GREAT) Pillar along with the Project Management Pillar seek an experienced and reliable administrative professional to provide high level executive support to our GREAT Pillar Head and advance special projects and initiatives within the team, as well as supplemental support to our Head of Project Management (PMP).
The Executive Assistant will understand the executives' goals, working style, and preferences and be prepared to guardrail any weaknesses. We are looking for someone with a proven track record of sound judgment, discretion, and ownership in the management of their responsibilities. They must be willing to firmly hold people and themselves accountable while naturally maintaining strong professional relationships.
Day-to-day responsibilities would include a combination of the following:- Manage and coordinate dynamic calendars, liaise with internal stakeholders and external parties for communication and scheduling, adjust as priorities shift
- Ensure executives stay on schedule and meet daily deliverables, monitor, and maintain their task lists, liaising with the rest of the team to accurately understand priorities
- Process and follow up on executives' service and support needs, including IT, purchasing, facilities, travel, and expense reimbursement
- Support and own some operational projects and processes, including collecting and assembling draft reporting content and submitting approved communication updates
- Assist with meeting preparation, including agendas, materials, taking notes as needed, distributing them, and checking on action items and follow ups
- Assist with document preparation, management and archiving
- Excellent time management and prioritization skills
- Ability to manage multiple workstreams simultaneously under minimal supervision
- Strong written and oral communication skills
- Excellent word processing, filing and organizational skills
- Advanced working knowledge of Microsoft Word & Excel, proficient with Outlook, OneDrive, and SharePoint
- Familiarity with project management tools such as Monday.com or SalesForce

- At least 5 years executive administrative assistant or similar experience in a high intensity office setting, preferably having supported multiple executives with significant international travel and expense management experience
- At least 2 years of experience managing projects in a fast-paced, high caliber environment
- Bachelor's degree or advanced certification
Compensation for the role includes a competitive salary in the range from $100,000 -$150,000 (inclusive of a merit-based bonus, dependent on years of experience, level of education obtained, as well as applicable skillset) and an excellent benefits package, including a comprehensive employer paid medical plan and generous employer match for 401k.
