Position Overview
School of Public Health is hiring an Executive Assistant for the Department of Health Administration Health Policy. This position performs responsible, highly sensitive, confidential administrative work, as well as special assignments as directed. This position contributes to a fast-paced, efficiently operated organization by utilizing effective communication, teamwork, organizational skills, accuracy, creativity, innovation, and productivity. Perform routine clerical and administrative functions such as preparing routine correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.
Minimum Qualifications
Bachelor's degree and two (2) years of related experience; or equivalent combination of education and experience.
Knowledge, Skills and Abilities
Advanced MS Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function
Preferred Qualifications
The preferred candidate will possess the following additional qualifications:Bachelors or Associates degree and (2) years of related experience; or equivalent combination of education and experience.
Required License/Registration/Certifications
Job Duties:
- % - Supports the Chair of Department of Health Administation Health Policy, MHA Program Director and administrative needs of multiple faculty across several disciplines. Compiles, gathers and organizes reports, schedules, documents and correspondence. Maintains comprehensive and systematic electronic and hardcopy files for key information. - ()
- % - Coordinates Department Chair calendar. Schedules arranges travel, lodging and conference registration for attendance at professional conferences and continuing professional education events for Department Chair and department faculty, - ()
- % - Supports School Process (Purchase Orders, Purchasing Cards, InterDepartmental Transfers, Travel, Timekeeping/Payroll, Supplies) as assigned. Procures supplies, refreshments and/or other operational needs. Collects statistical data; enters budget data in shared files to track expenses. - ()
- % - Assist with department new faculty and adjunct hires, job postings, coordinating interviewprocess and travel. Assists in processing credendtialing for Department of Health Administation Health Policy and School of Public Health as assigned. - ()
- % - Seminar/Faculty Meeting scheduling, coordination, reservations, as needed. Supports School Committees as assigned. - ()
