About the Job
The Executive Assistant/Operations Admin is responsible for supporting and assisting the Vice President and the Commercial Operations Department with a wide variety of tasks and responsibilities by providing administrative, operational and project related assistance.

Responsibilities:
- Must demonstrate and model Sachse Construction’s core values
- Manage warranty process
- Manage Sachse apparel process
- Manage building permit process from submission to obtaining Certificate of Occupancy
- Create, update and print Microsoft Project schedules
- Distribute weekly reports for team members
- Maintain vacation schedule for department
- Manage confidential information (offers, evaluations, etc.)
- Answer phones, make travel arrangements, type correspondence and handle expense reports and filing
- Heavy calendar scheduling
- Assist Project Managers and Superintendents to secure and organize close-out documents
- Maintain a thorough knowledge of the department procedures
- Manage outgoing/incoming mail for the department – including UPS packages/labels
- Prepare UPS packages and labels as needed
- Conference room scheduling
- Greet clients for meetings
- Order and ensure delivery of food and refreshments for meetings as needed
- Assist, develop and distribute presentation packages or other marketing packages
- Manage responding to RFQs and RFPs, create and update resumes, etc. for Marketing
- Assist in training and/or mentoring new staff members of the department as needed
- Assist in phone coverage for the front desk
Qualifications:
- 3+ year administrative assistance in a professional office setting
- Bachelor’s degree
- Construction and Marketing knowledge preferred
- Dynamic, high energy, take charge leader who is action oriented
- A very quick study who works well in high pressure situations
- Dedicated individual with ironclad integrity
- Highly developed interpersonal skills for dealing with sensitive or controversial situations
- Able to face situations that are unstructured and require an original approach
- Excellent oral and written communication skills
- Excellent organizational skills
- Demonstrated problem solving skills
- Excellent time management skills
