Your Role in a Nutshell
As an EXPERIENCED, Executive Assistant (EA) you will:
(A) be at the heart of our mission working to support the Executive Leadership Team
(B) play a crucial role in supporting the administrative functions of our small educational non-profit organization, and
(C) provide high-level assistance ensuring smooth operations and contributing to the overall efficiency and success of the organization
Key Responsibilities Include the following:
- Perform general office management duties, such as ordering supplies, managing incoming and outgoing mail, and maintaining organized filing systems.
- Collaborate with team members to streamline processes and improve efficiency across the organization.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and adherence to organizational standards.
- Assist with project management tasks, such as tracking deadlines, coordinating logistics, and maintaining project documentation.
- Handle confidential information with utmost sensitivity and discretion, maintaining confidentiality at all times.
- Assist with special projects and events as needed, including logistical coordination and on-site support.
- Provide suggestions for streamlining operations. Lead staff training on new efficiencies. Oversee process documentation.
- Finance: support with invoicing, purchasing and budget planning
- Recruitment: review applications, calendar interviews, proctor skills test, support pipeline overall
- Administrative: support business license and insurance renewals, support organizational compliance
- Team Building: research, organize and lead team-building activities
- Scheduling: maintain up-to-date SAfG Calendar and School Calendars, schedule meetings with leadership and outside stakeholders, create yearly lesson and full-year calendar schedules and spreadsheets
- Sub Process: own and lead substitute process for Head Teacher and Teaching Assistant
- NeedsProgrammatic: Manage Adopt-a-Lesson, support initial curriculum research
- Support with STEM supply pipeline as needed
- Serve as Substitute Teaching Assistant when needed
- Attend and serve at special events which may be outside of regular working hours
- On occasion, attend networking events to represent SAfG

You are the ideal candidate if you:
Mandatory Requirements:
- This position requires a proactive, detail-oriented individual with a minimum of 5 full years of paid, professional experience in administrative support. This is not an entry-level role.
- Flexible and able to pivot quickly to meet the needs of the organization and leadership team as they arise.
- Is comfortable in a fast-paced environment and can meet deadlines.
- Problem-solving and solution-oriented personality.
Key Qualifications:
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy in all work
- Commitment to the mission and values of the organization
Educational Requirements: Bachelor's degree.
Personal Attributes:
- Ability to work independently with minimal supervision and as part of a team
- Positive attitude and a passion for impact-driven, mission-based work.
- Flexibility and adaptability in a dynamic educational environment.
- Can lift up to 40 lbs.
