Are you an experienced Executive Assistant with high attention to detail who thrives in a fast-paced environment, and is ready to serve two fierce executives in the heart of Austin, TX? We are searching for our next teammate, who can help both our founder/CEO stay on task to focus on growing her practice, and administratively support our COO in our office.

Your goal will be to keep our Managing Attorney, Hannah, focused on her priorities of building the foundation of the firm while exploring opportunities to continually serve our community, our TEAM, and our clients while taking care of projects (big or small, professional or personal) in the background. You will also assist the COO, Denise, with operations, facilities, processes, and administrative duties. Hannah and Denise are both high-energy, fast-paced, driven individuals looking forward to seeing what you have to offer to support them.
We are looking for an Executive Assistant with these qualities:
- Seasoned Executive Assistant: You must have at least 5 years of experience as an Executive Assistant who can confidently prioritize, multi-task, be a proactive problem solver, thrive in a high-energy, fast-paced environment, and have the ability to represent the firm at various firm events and assist with employee and community gatherings. Experience working with 2 executives in the past is a plus.
- Administratively gifted and detail-oriented professional: 75% of your job will revolve around Hannah's busy schedule and heavy administrative workload while keeping her focused on high-priority tasks, appointments (both personal and professional), being her liaison, gatekeeper, and ambassador, creating efficiencies, and smooth transition and communication from one task to the next. The remaining 25% of your role is to assist Denise with operations, administration, facilities, coordination, and other duties as assigned. Your eye for detail is important to us. - High energy and professionalism: Your approach to confidentiality and honesty matters as much as your interpersonal skills. You must also possess exceptional written and verbal communication skills as you will represent our firm with clients, visitors, colleagues, community professionals, referral partners, and more.
- Self-starter and strong finisher: A confident individual with a "whatever it takes to get the job done" all the while with a fantastic can-do attitude, and a no task is too small or too great mentality.
- Tech-savvy: PowerPoint & Excel proficiency is necessary to succeed in this role, QuickBooks knowledge is a plus.
Your responsibilities will include but are not limited to:
Executive Assistance:
- Heavy calendar and email management
- Coordination of meetings and travel arrangements
- Handling personal and business-related errands/tasks to maintain Hannah's work-life efficiencies
- On occasion providing transport to meetings, airport, etc.
- Handling social, personal, and professional calendar
- In-office appearance, representation, and decorum to be the first impression for guests, clients, and colleagues
- Assist with coordinating and providing admin support for video and social media shoots.
Event/Project Management
- Help plan, coordinate, and design events as directed by the Marketing Director
- Create, revise, and gather reports as needed from various members of leadership
Operations, HR, and Firm Liaison
- Coordinating with different community leaders and members
- Communication with local businesses and referral partners representing our firm, professionally and positively
- Assisting with onboarding, orientation, and integrating new team members on-site for the best first impression and experience possible.
- Assist with onsite facility operations and coordination as directed.
- Assist with HR and team member relations as needed

This is a M-F 8:30 am -5:30 pm, non-exempt, in-office, Austin-based, full-time position. Some evenings and weekend availability are required on occasion with prior notice and mutual agreement.
