Overview:Under minimal supervision and acting on own initiative and direction, provides complex administrative support to one or more of the organization's executives, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and a detailed knowledge of the organization's operations, procedures, and people. Manage the executive's schedules. Make travel arrangements to make best use of their time. Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases. Facilitate smooth communications between the executive and coworkers and between the executive and external parties such as media, customers, and the public.
Position is located in Philadelphia and has hybrid flexibility with 3 in-office days a week required. Hours: 8:00am - 5:00pm.
Responsibilities:
- Acting on own initiative, performs advanced secretarial, clerical and administrative duties for executive level managers, general managers or managers of autonomous business units.
- Assignments generally involve work of a confidential nature and require knowledge of the practices and procedures of the function, company products, policies and programs.
- Independently assembles and analyzes information, prepares reports, presentations, manuals, agendas, correspondence and memoranda.
- Answers mail and inquiries on own initiative, follows up with other departments to ensure that requests are carried out.
- Coordinates activities across departments. Arranges and makes notifications of appointments and travel reservations and arrangements.
- Organizes Fulton Financial Corporation Board of Directors Meetings. Compiling and distributing reports and information for Board of Director's meetings. Arranging Board Room prior to meeting. Assisting Directors as needed.
- Schedules maintenance of bank cars, including state inspection, registration, cleaning and repairs when needed.
- Prepares annual mileage reports.
- Prepares materials in final form from very rough and involved drafts which may utilize frequent use of technical terminology and which combine materials from several sources.
- Plans layout of complex reports and statistical tables.
- Interfaces with other assistants to share or coordinate workload.
Qualifications:
Education
High School Diploma or equivalent.
Required Experience
- 5 or more years administrative support, or equivalent combination of advanced business school or administrative training and job-related.
- Minimum of 2 or more years of executive administrative support.
- Technical proficiency with Microsoft suite and strong attention to detail.
This role may perform other job duties as assigned by the manager. Specific compensation offered will be determined based on a combination of factors including the candidate’s knowledge, skills, depth of work experience, and relevant licenses/credentials. The salary range may vary based on geographic location.
The hourly rate for this position is $25.72 - $42.84.
