About the Job
The Enterprise Master Patient Index Specialist reports to the Enterprise Master Patient Index Coordinator. This position has the responsibility of analyzing system reports and data for potential duplicate medical record and corporate numbers and overlays from the various information systems of Beacon Health System. The Enterprise Master Patient Index Specialist resolves the overlays and combines as identified through various reports and other information.

Monitor systems and review duplicate patient information by:
- On a daily basis, monitor the duplicate/data integrity reports from source systems to identify potential duplicate overlays and facility level and HNE overlays.
- Identify urgent combines that need to be worked as a priority.
- Per assignment from the Coordinator, analyze the potential overlays and duplicates for validity utilizing the various source systems.
- Verify in various source systems the identity of potential merges.
- Refer questionable identities to the Coordinator and do not merge when indicated.
- Realize that at times, potential duplicates may not be able to be combined due to a lack of complete information.
- Contact personnel at source physician offices or hospital departments when needed if there is a question or survivorship issue.
- Determine the most recent survivor history to maintain during the merge. Utilize the merge survivorship rules as established by policy or procedure.
- Make changes in computer systems as part of the merge process.
- Merge duplicates per detailed procedures.
- Merge HNE numbers per detailed procedures.
- Verify that all the potential duplicate merges have taken place in the systems identified.
- Keeps statistics on total numbers of merges/overlays and other work assignments where indicated.
- Brings urgent issues immediately to the Coordinator's attention and also shares other issues with the Coordinator when indicated.
Provide customer service and assistance by:
- Answering phone and email inquiries concerning EMPI and MRN duplicate numbers.
- Responding to inquiries in a timely manner.
- Working with the EMPI team to set priorities and respond to issues.
Other functions:
- Maintains knowledge, skills and competence in the areas of responsibilities by attending inservices and department meetings.
- Contributes to overall effectiveness and efficiency of the department by treating guests, patients and other associates with care, courtesy and respect. - Completing other job related duties and projects as assigned.
Associate complies with the following organizational requirements:
- Attends and participates in department meetings and is accountable for all information shared.
- Completes mandatory education, annual competencies and department specific education within established timeframes.
- Completes annual employee health requirements within established timeframes.
- Maintains license/certification, registration in good standing throughout fiscal year.
- Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
- Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
- Adheres to regulatory agency requirements, survey process and compliance.
- Complies with established organization and department policies.
- Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience
- The above level of knowledge, skills, and abilities are normally acquired through the successful completion of a high school diploma. Previous experience of one year minimum in a medical insurance billing, admitting, physician office or hospital office experience is required. A recent RHIT program graduate or current student in an RHIT program will be considered.
Knowledge & Skills
- Requires critical thinking skills and analytical skills necessary to independently evaluate data and make decisions based upon this analysis.
- Excellent keyboarding skills. Minimum 40 wpm.
- Ability to perform large volumes of repetitious tasks while maintaining excellent attention to detail.
- Computer terminal experience and basic working knowledge of common business software including but not limited to MS Word, Excel, and Outlook, required.
- Effective time management skills.
- Ability to work independently for long periods of time and also as a team member.
- Working knowledge and experience of MPI job functions preferred.
- Knowledge and experience of healthcare industry or health information systems preferred.
- Medical record/HIM experience is desirable but not required.
- Demonstrated knowledge of and commitment to Beacon Health System's mission and values and the organization's goal of providing exception patient experience.
Working Conditions
- Works in an office environment.
- May experience some mental/visual fatigue from careful and constant review of computer screens and data.
- Regularly required to talk and hear, stand, walk, sit and use hands and specific vision abilities of close vision, color vision and ability to adjust focus.
