Essential Functions
- Responsible for the operational functions of the Office of Industry Partnerships, supervising administrative staff & Interns.
- Coordinate day-to-day operations and improvement processes for OIP through analysis and collaboration.
- Working with vice president and executive director for long-term business planning.
- Analyze the performance of support functions and provide suggestions and strategy for improvement Setting guidelines for employee recruitment, evaluations, and advancement.
- Collaborate with the executive directors and directors to provide research assistance and help prepare corporate reports for them and other stakeholders.
- Prepare and submit annual proposals and stewardship reports for top corporate prospects, working collaboratively with appropriate Office of Industry Partnerships and development staff, student organizations, faculty, and administrators, and following donor guidelines and requirements.
- Maintain knowledge of gift processing activities; distribute notification of funding for departments to provide allocations; provide documentation to ensure timely and accurate acknowledgement and resolution of metrics.
- When asked, assist with on-campus visits by corporate executives/representatives, including scheduling meetings and arranging tours.
- When asked, attend corporate visits/meetings, and assist with notetaking and generating meeting minutes and follow-up item lists as appropriate.
- Lead process for data quality management specific to proposals and sponsored research funding.
- Deliver high level of customer service to all constituents at all times.
- Manage office resources to provide timely and accurate responses to the OIP staff, University Development Office, alumni, donors, friends of the University, and corporate and private foundation contacts.
- Prepare proposals, both in-house and centrally; attend meetings with stakeholders as needed. and participate in calls with corporations and foundations when appropriate.
- Respond to contacts from alumni, corporate and foundations, volunteers, prospective donors, and University staff about campaign status and activities.
Stewardship
- Prepare annual stewardship reports for top corporations & ensure gifts are properly stewarded.
- Create individual stewardship plans for top 25 corporate and foundation relations donors and prospects in cooperation with the directors.
- Create and disburse OIP gift acknowledgement letters and stewardship reports in a timely manner.
- In cooperation with OIP, gather information and provide key input to the annual “Key Reports of Support and Involvement” for the top 30 companies University-wide.
Additional Responsibilities
- Maintain Office of Industry Partnerships internal SharePoint site.
- Prepare corporate relationship summaries and assist with strategy documents.
- Maintain list of college/unit contacts.
- Provide support to Office of Industry Partnerships staff, including the compilation of orientation and training materials.
- Manage planning schedule of stewardship reports and proposals.
- Respond to inquiries with accurate and timely information.
- Manage OIP-branded marketing needs as requested.
Skills, Knowledge and Abilities
- Excellent interpersonal and oral/written communication skills and the ability to represent the University with tact and diplomacy are essential.
- Demonstrated organizational, analytical, time management and problem-solving skills.
- Ability to work independently and as a team member with diverse groups of people required.
- Personal computer and related software skills, e.g., word processing, spreadsheets, database, data query, internet, etc., necessary.
- Ability to draw sound and timely conclusions when analyzing complex, technical information desired.
- Ability to work under pressure, manage ambiguity, and maintain quality of detailed work while meeting competing and inflexible deadlines.
- Must be able to handle confidential information with discretion.
- Some travel and weekend duties required.
Required Education/Experience and Benefits
- Bachelors Degree required.
- 3-5 years professional work experience in a competitive/closely related field/environment required.
- Proposal writing and fundraising experience preferred.
- Other relevant higher education experience with a comprehensive development program is desired.
