About the Job
SCOPE OF WORK: Assists with the daily functions of the Academic and Workforce Education Office, including the performing various administrative support functions and activities, and coordinating special projects, preparing reports and meeting information and providing general information. This position reports to the Vice-President of Academic Affairs and Workforce Education at NHTI, Concord’s Community College.
ACCOUNTABILITIES:
- Performs various secretarial and administrative support functions for the Office of Academic and Workforce Education such as scheduling meetings, preparing correspondence, reports, and meeting minutes; filing; maintaining database systems; record-keeping; responding to information requests and inquiries; and coordinating various activities and projects, as assigned. Serves as a point of contact for the Academic Affairs and Workforce Education office.
- Assists the Academic Affairs Office Manager in preparing reports, collecting, and maintaining documents needed for all programs; assists with coordination of accreditation site visits, scheduling meetings, organizing travel, ordering refreshments, etc.
- Works with the AVPAWE, academic department chairs, and students to manage the academic standards process and letters, including notifications of academic honors, academic warnings, program/college suspensions, dismissals, and student appeals.
- Assists with the hiring process for full-time and adjunct faculty in coordination with Human Resources.
- Assists with credit waiver tracking and processing, responding to general inquiries internally and externally, updating templates, and other similar administrative tasks as needed.
- Maintains the confidentiality and security of information related to student records.
- Ensures accuracy and consistency throughout all work performed.
- Complies with all college, system, state and federal rules and regulations.
- Assists with administrative support functions in other academic offices and departments as assigned.
- Other related duties as assigned.
MINIMUM QUALIFICATIONS:
Education: High School diploma or equivalent credential. Each additional year of approved education may be substituted for one year of experience.
Experience: Five years' related experience in secretarial or administrative support.
License/Certification: None required.
RECOMMENDED WORK TRAITS: Computer proficiency with PC and cloud-based Microsoft Office applications (with a heavy focus on Excel, Outlook, Word, etc.) and database management software. Ability to properly compose a variety of correspondence with only general instructions. Ability to gather, assemble, correlate, and analyze facts to identify existing or potential problems. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships. Ability to work independently in the performance of assigned job duties and as a member of a team. Must be willing to maintain an appearance appropriate to assigned duties and responsibilities as determined by management.
