GENERAL PURPOSE:
Under the general direction of the Associate Director for Systems and Operations, ISO’s Administrative Assistant will provide administrative support to the International Services Office staff, including but not limited to office operations and logistics serving UR’s international populations, communications surrounding immigration questions for sponsored populations, and managing daily office tasks including purchasing of supplies. Handles external communications with diplomacy, professionalism and tact, connecting students and scholars with advising staff as appropriate. Provides reception services for UR’s international populations, departments, and other constituents. Duties include handling office visitors, phone calls, mail/shipments, appointment scheduling _,_ assessment of service needs and referrals, document scanning, and basic database work for internal records, routing, and communications.
**JOB DUTIES AND RESPONSIBILITIES:**
**Service Assistant Responsibilities**
+ Manage daily office operations and standalone reception area support for ISO and Global Engagement offices during scheduled service hours (M/T/Th/F).
+ Greet visitors and distribute documents.
+ Assess inquiries for appropriate action
+ Schedule appointments
**Immigration Support Responsibilities**
+ Answer general emails related to office procedures, immigration status, online tools & scheduling.
+ Review incoming mail items, including SSN and ITIN related documents and USCIS mail, route appropriately through the Scholar or Student teams, and coordinate outgoing shipment requests.
+ Coordinate logistics of document packaging and mailing
+ Scan documents and file forms in internal database
**Communications Responsibilities and Special Projects**
+ Answers phones, assesses inquiries and directs calls as needed.
+ Assist with email communications for multiple office email accounts covering communications for documents, advising inquiries, student academic updates as well as shipping questions
+ Provides logistical support & document preparation for special projects
**Administrative**
+ Provides administrative support to staff of 20
+ Assists with ordering supplies
+ Maintain internal staff lists and send email announcements (contact info, birthday greetings, etc.).
+ Provides logistical support for reserving space if needed
Other duties as assigned
**QUALIFICATIONS:**
+ Associate Degree required
+ Bachelor Degree preferred
+ 3 years of progressively responsible administrative support, including lead experience or equivalent combination of education and experience required.
+ Excellent communication and organizational skills required
+ Demonstrated attention to detail and management of multiple tasks required
+ Knowledge of Microsoft Suites required

**Pay Range**
Pay Range: $20.38 - $28.56 Hourly
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
