The Customer Service Specialist provides support related to real estate documents and records in the Cleveland County Clerk's office. This position involves assisting customers with inquiries, providing information, and ensuring the accurate preservation and retrieval of records. The ideal candidate will possess strong communication skills, attention to detail, and a commitment to delivering excellent customer service.
Compensation
- Up to $36,000.00 to $42,000.00 based on education and experience.
- Proficient in Microsoft Office Suite and other relevant software applications.
- Experience in a county clerk’s office or similar setting is preferred.
- Strong communication skills, both verbal and written, with the ability to interact professionally with customers and colleagues.
- Excellent customer service skills with a commitment to meeting customer needs and expectations.
- Attention to detail and accuracy in record management and document verification.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Proficiency in using public terminals and conducting research to retrieve records.
- Familiarity with real estate documents and legal terminology is preferred.
- Ability to work collaboratively with colleagues and provide support as needed.
- Demonstrated commitment to maintaining confidentiality and handling sensitive information with discretion.
- Adherence to ethical standards and professionalism in all interactions and duties
- Respond to customer inquiries in person and over the telephone.
- Provide information and assistance to customers regarding real estate documents, deeds, mortgages, mineral interests, plats, liens, judgments, tax liens, and military discharge records.
- Route incoming calls and record messages accurately.
- Assist customers with obtaining copies of records and redirect them to the appropriate resources as needed.
- Conduct historical deed book and land record research for customers.
- Assist customers with using public terminals for record retrieval.
- Proofread and verify real estate documents for errors as directed by Supervisor.
- Index documents and maintain accurate records as assigned.
- Compile historical data and maintain records for reference.
- Check outgoing mail and ensure accuracy before dispatch.
- Perform other administrative duties as assigned by the Supervisor.
- This position works in a comfortable office setting with a computer for a large percentage of the workday.
- The noise level in the work environment is usually mild.
- Ability to stand, reach, and bend 50% of the time.
- Operates a computer and other office productivity machinery, such as a calculator, copy machine/printer, office telephone 75% of the time.
- Ability to lift 25 lb.
- High School Diploma or equivalent; Associate’s or bachelor’s preferred.
- 2 years of experience in a customer service or administrative support role.
- Or an equivalent combination of education and experience.
