What we are looking for:
Reporting to the Director, US Commercialization Learning | Hematology & Cell Therapy the US Commercialization Learning Project Coordinator will be responsible for general project coordination and administrative support for the US Commercialization Learning Team. Confidentiality and the ability to handle sensitive material are critical to the position. In addition, good interpersonal skills, a team perspective and willingness to work with others are also critical requirements.

Functional Area Description: US Commercialization Learning | Hematology & Cell Therapy
Site Location: Madison, NJ (floating role to flex in GIR/PPK as needed)
Position Summary/Objective:
Responsible for general project coordination and administrative support for Hematology & Cell Therapy Commercialization Learning Team. Confidentiality and the ability to handle sensitive material are critical to the position. In addition, good interpersonal skills, a team perspective and willingness to work with others are also critical requirements.
Position Responsibilities:
o Provide administrative support to the Director and Heme/CAR-T Commercialization Learning team
o Provide support to department's day-to-day operations as well as individual projects as needed
o Manage contract processing, invoices and department budget
o Maintain Directors' day-to-day calendar
o Maintain and manage the storing of department records and files on SharePoint and MS Team collaboration sites
o Responsible for scheduling, organizing all leadership team meetings, extended leadership team meetings, quarterly 1:1s, coordinate agenda and distribute
o Schedule conference room usage
o Prepare presentation materials
o Oversee all meeting logistics for Training Programs. (Which includes but is not limited to: hotel accommodations, shuttles, invitations, confirmations, booking space, catering, etc.)
o Provide materials/handouts (tent cards, posters, reports, etc.) creation support for the training programs delivered by Heme/CAR-T training.
o Create/maintain internal and external correspondence, PowerPoint presentations and Excel Spreadsheets, such as, sending communications to the field from the Training Team.
o Manage team calendar as well as email box.
o Set up all large webinars and conference calls for salesforce training in support of Commercial needs
Project Management Responsibilities:
o Managing the vendor contracting and payment reconciliation process.
o Managing the Hematology/CAR-T Training Team's calendar.
o Manage invite lists of approx. 500-700 participants for Sales & Launch Meetings.
o Document retention organization and management for Heme and CAR-T Commercial Learning Team: Class Rosters, New Hire Tracker, etc.)
