About the Job
Interstate Companies, Inc. is in search of a qualified Corporate Administrative team member in their Eagan, Minnesota corporate office. This person will report directly to the Chief Financial Officer and will support him, the Executive Vice President of Operations and other executive leaders.
Primary responsibilities:
- Managing the Executive’s calendar and schedule
- Handling phone calls, emails and correspondence
- Arranging travel and accommodations
- Submitting expenses for reimbursement
- Coordinate meetings to include out of town guest travel, meals and supplies
- Support receptionist, front desk function, when backup is needed
- Assist with corporate office facilities management
- Acting as a liaison between the Executive and other staff members
- Organizing and prioritizing tasks and projects
- Preparing reports, presentations, agendas and other materials
- Back up to other executive assistants
- Maintain professionalism, confidentiality, and discretion
- Providing research and analytical support
- Document review and assessments
- Contracts, compliance, and various project support
Qualifications:
- Must have above average abilities in Microsoft Office Suite to include MS Word, Excel, PowerPoint, Outlook and Teams.
- Strong written and verbal communication skills.
- Ability to take direction, ask appropriate questions and possess a strong sense of urgency.
- Must possess excellent organizational skills, integrity, and demonstrate a positive attitude.
- Proven experience working with sensitive and confidential information.
- Will need good reasoning skills and problem-solving abilities.
- Good professional demeanor and excellent customer service skills.
- 3+ years of office administration, executive level support preferred
This is a full-time opportunity. Compensation will be based on experience and qualifications. Typical schedule will be Monday – Friday, day shift, with rare and occasional nights and weekends to assist with meetings or last-minute travel needs.
