This is an excellent quick start opportunity that could lead to a permanent employment. Sparks Group has partnered with a prestigious law firm in Uptown Charlotte to identify a temporary Executive Assistant. This is an excellent quick start opportunity that could lead to a permanent employment. Well qualified candidates will be highly professional and organized, with 5 years experience supporting C level executives.
Responsibilities:
- Performs a variety of administrative functions to support the Firm’s Management Partner and Committee, the Chief Operations Officer, and Chief People Officer.
- Coordinates the distribution of meeting agendas, meeting minutes and other materials.
- Manages and coordinates a dynamic calendar of meetings and conferences involving a variety of important external constituencies and clients.
- Prepares invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
- Maintains calendar: schedules and confirms appointments, arranges for meeting rooms or facilities, makes, and confirms travel plans.
- Prepares agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
- Responds to inquiries and serves as a liaison between the Managing Partner and the Firm’s personnel/external entities.
- Prepares documentation for contracts, transactions, or regulatory compliance.
- Prepares agendas or presentations, attends meetings with the senior staff, and takes, transcribes, and distributes notes or minutes.
- Prepares and submits expense reports
- Coordinates travel arrangements for the Firm’s Managing Partner
- Prepares, edits, and proofreads documents.
- Maintains confidentiality of sensitive information
- Regular and in-person attendance is required to perform essential functions of this interactive position.
- Bachelor’s degree or equivalent preferred.
- 5-7 years of related experience
- Any equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential duties and responsibilities of the position.
- Knowledge of administrative and office procedures and systems such as word processing, managing files and records, transcription, designing forms, and workplace terminology
- Good research, writing and analytical ability.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Ability to proof typed material for contextual, grammatical, typographical, or spelling errors.
- Handles complex issues and problems and refers only the most complex issues to higher-level staff.
- Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
- Good interpersonal skills necessary to: communicate in person and on the telephone; effectively follow instruction from a diverse group of clients, attorneys, and staff; and provide information with courtesy and tact.
- Ability to build collaborative relationships.
- Detail oriented, ability to meet deadlines and attentive.
