Job Overview:
The Accounts Payable and Payroll Specialist is responsible for managing the company's accounts payable processes and administering payroll functions to ensure timely and accurate payment of bills and employee compensation. This role requires close attention to detail, strong organizational skills, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will have experience in construction-related accounting or a similar industry, with a solid understanding of accounts payable, payroll processing, and tax regulations.

- Accounts Payable:
- Process and manage incoming vendor invoices, ensuring accurate coding and approval per company procedures.
- Verify and reconcile vendor statements, resolving discrepancies and ensuring timely payment.
- Manage accounts payable aging reports and prioritize payments according to company cash flow needs.
- Assist with the preparation of weekly or bi-weekly payment runs, including checks and ACH payments.
- Maintain accurate records of all accounts payable transactions, ensuring proper documentation is retained for audit purposes.
- Collaborate with project managers to ensure that invoices are accurate and reflect the correct job codes, materials, and services.
- Respond to vendor inquiries regarding payments, disputes, and billing issues in a timely and professional manner.
- Payroll Administration:
- Process weekly payroll for all employees, ensuring that hours worked, overtime, deductions, and bonuses are accurately calculated.
- Ensure compliance with federal, state, and local tax laws, including timely submission of payroll taxes and withholding.
- Prepare and file quarterly and annual payroll tax reports.
- Administer employee benefit programs such as health insurance, retirement plans, and other deductions.
- Maintain accurate payroll records, including employee compensation, benefits, and deductions.
- Handle employee inquiries regarding payroll, ensuring accurate and timely resolutions.
- Track and report on employee leave balances (vacation, sick days, etc.).
- Additional Responsibilities:
- Assist with month-end and year-end closing processes related to accounts payable and payroll.
- Support the preparation of financial statements, audits, and tax filings.
- Ensure compliance with relevant regulations, including IRS, state and local tax authorities, and Department of Labor requirements.
- Participate in the continuous improvement of accounting processes and systems.
- Provide support for special accounting projects as needed.
- Education & Experience:
- Minimum of 2 years of experience in accounts payable and payroll processing, preferably in the construction or commercial roofing industry.
- Experience with accounting software (QuickBooks, Sage 100 Contractor, or similar, as well as software like UKG).
- Strong understanding of payroll processes, tax regulations, and employment laws.
- Skills:
- Strong attention to detail and accuracy in data entry.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office Suite, particularly Excel (pivot tables, v-lookups, etc.).
- Excellent problem-solving skills and the ability to handle sensitive employee and financial information.
- Knowledge of prevailing wage laws, union contracts, or construction industry-specific payroll requirements is a plus.
