About the Job
The Community Liaison II provides strong administrative support and coordination for WindRiver's sales funnel processes for developer based real estate sales and ensures a positive guest and client experience by providing excellent and knowledgeable service throughout all points of the sales process, from leads through closing.
Responsibilities
- Real Estate Sales Operations
- Act as a model for all Employees, abiding by all company policies and procedures outlined in the Employee Handbook and other documents, and ensuring the integrity of WindRiver's values, principles, and standards in decision-making and interactions with others.
- Manage the company CRM and ensure it is maintained with the most up-to-date information including agent tour notes, accurate listings and listing status, and property buyers.
- Ensure all real estate leads are entered into the CRM and related tasks are assigned to all sales assistants.
- Manage all property listings by maintaining listings on MLS, obtaining and organizing all relevant documentation, drafting addendums, coordinating photographer, coordinating or doing the Matterport and providing updates to the Sellers.
- Coordinate real estate closings, including marking the property pending/closed on the MLS, organizing all documentation, drafting addendums, communicating with the title agencies and outside realtors, and onboarding the new homeowner to the WindRiver Community.
- Lead Management
- Engage with leads through phone calls, emails, mailings and/or text, introducing them to the unparalleled lifestyle offered at WindRiver.
- Utilize effective communication skills to highlight the benefits of our community, emphasizing the scenic beauty, recreational amenities, and the opportunity to build their dream home.
- Contact prospective homeowners accurately presenting information and facts about the community with the goal of booking a Discovery Tour.
- Use Focus3 CRM to track leads, schedule follow-up calls, and maintain detailed records of interactions.
- Serve as a local expert, with an in-depth understanding of the local community, the area, and its amenities.
- Tour Booking:
- Skillfully guide prospects through the process of scheduling Discovery Tours, ensuring a seamless and enjoyable booking experience.
- Collaborate with the sales team to optimize tour schedules and maximize the chances of successful sales.
- Ensure a minimum level of Discovery Tour volume, with the sales expectations set by management.
- Efficiently manage reservations through the Guesty platform, ensuring accurate and up-to-date information for prospective homeowners.
- Confirm all accommodations are ready in advance on the day of arrival.
- Communicate with the Welcome Center and Member Services Director and other departments regarding upcoming Discovery Tours, Guest reservations, sales tours, and/or other needs.
- Department Administration & Coordination
- Ensure information and data is up to date across multiple communication and project tracking platforms including Microsoft Teams and Asana. Manage multiple inboxes and communication channels.
- Provide prompt, courteous, and professional responses to customer, guest, and co-worker inquiries.
- Provide reports to the Executive Team as requested.
- Participate in team meetings to share insights, goals, strategies, and foster a collaborative work environment.
- Communicate with the Welcome Center staff and other departments regarding upcoming Discovery Tours, Guest reservations, sales tours, and/or other needs.
- Assist with any needs and requests from prospective homeowners, Club Members, and Guests.
- Provide reporting on guest experience and input and recommend improvements.
- Work closely with other departments to streamline processes, contributing to the overall success and growth of WindRiver.
- Assist with department coverage where needed.
- Other duties as assigned.
Knowledge/Skills/Abilities
- Strong Microsoft Office experience preferred
- Strong Asana Skills preferred
- Ability to analyze and solve problems; efficiently handle multiple duties under pressure
- Must be willing to work a flexible schedule including weekends, holidays, and evening shifts
- Demonstrated positive interpersonal and communication skills with staff and customers
- Strong organizational skills and general clerical skills including the use of computers, printers, copiers, electronic signatures, email, iPads, etc.
- Give verbal and written instructions clearly
- Perform mathematical calculations involving fractions, decimals, and percentages
- Ability to retrieve information from various technical sources
- Positive attitude, professional manner, and appearance in all situations
Physical Requirements:
Must be able to bend, stoop, climb, twist, kneel, lift, push, and pull items weighing up to 30lbs.
