SUMMARY
Workbox is a national workspace operator, based in Chicago, that provides professionals with a platform to connect. Workbox currently has 11 locations in six cities across the U.S. and is one of the fastest-growing operators in the country. In addition to office space, Workbox offers connection to investors, professional specialists, and high growth businesses across all locations.
The COO will be responsible for leading Workbox’s national operations team and ensuring operational excellence across the entire portfolio. Reporting to the company’s CEO, the COO will help implement and drive improvements in company-wide systems, processes, and staffing strategies, as well as oversee new location expansions and vendor relationships and optimize financial performance at the location level. This individual will collaborate closely with cross-functional teams to support company-wide initiatives while driving the organization’s growth and maintaining the highest standards for Workbox's dynamic workspaces.
KEY RESPONSIBILITIES
- Lead Operational Team:
- Oversee the full operational team and manage all operational leads across the Community, Facility, Experience, and Technology verticals.
- Establish and enforce operational policies, procedures, and best practices to enhance performance.
- Foster a culture of collaboration, excellence, and continuous improvement across all coworking spaces.
- Oversee Expansion of New Locations:
- Ensure timely/cost effective execution of new location openings.
- Collaborate with cross-functional teams to ensure seamless integration and operational setup of new locations.
- Vendor Management/Contract Negotiation:
- Build and maintain relationships with key vendors and service providers.
- Lead negotiations and renegotiations of vendor contracts, ensuring cost-effectiveness and top-tier service.
- Oversee vendor performance and compliance to guarantee adherence to contracts.
- Manage contract renewals and amendments to achieve operational and business goals; Evaluate new relationships if necessary.
- Budget and Financial Management:
- Develop and oversee operational budgets for all physical locations, ensuring financial targets are met.
- Manage expenses and optimize operational costs while maintaining quality standards.
- Determine ways to operate more efficiently and evaluate staffing/vendor agreements to hit corporate goals.
- Monitor key performance indicators (KPIs) and implement corrective measures as needed.
- Facility Management:
- Ensure that all coworking spaces are maintained to the highest standards, including safety, cleanliness, functionality, and brand alignment.
- Coordinate with community and facility teams to promptly address any issues or improvements.
- Technology and Tools Management:
- Oversee the selection, implementation, and management of tools and technology that enhance operational efficiency and member experience.
- Cross-Functional Collaboration:
- Work closely with other executive leaders to align operational strategies with business goals.
Requirements
PREFERRED QUALIFICATIONS
- Advanced management degree.
- Proven experience in operations in a multi-location environment; Some background in hospitality preferred.
- Strong leadership and strategic thinking abilities; Experience leading teams across different geographies.
- Experience with contract negotiation and vendor management.
- Expertise in developing and managing operational budgets and optimizing costs.
- Analytical, results-oriented and problem-solving mindset.
- Ability to work collaboratively with cross-functional teams.
- Excellent communication and problem-solving skills.
