Nestled within the Office of College and Career Success (OCCS), the department of Early College and Career Education (ECCE) strives to improve the quality of career education in Career and Technical Education (CTE) by providing intentional support to teachers and standardizing career education curricula. The department also aims to increase students' exposure to dual enrollment opportunities in Early College credit attainment as well as to expand postsecondary enrollment and completion. In addition, ECCE strives to enhance access to STEM as well as high-quality Work-Based Learning opportunities for middle and high school students to support youth employment and economic mobility.
Chicago Builds is a citywide, two-year off-campus construction training program for CPS students interested in pursuing a career in construction after graduating high school. Chicago Builds is an Illinois Works Pre-Apprenticeship Program site and offers a Master Builder program.
Job Summary:
Thepart-time and temporaryChicago Builds Program Supportrole willprovide administrative support for effective, efficient day-to-day office operations. This position will work closely with the Program Manager and staff, supporting all efforts aligned to the timely reporting of the program’s participant information and programmatic and service impact and outcome metrics. As appropriate, this position will also provide administrative support with source other needed support services (from outside providers), including tutoring services, and referring participants to those services.Reporting to the Senior Program Manager, this part-time/temporary position will be compensated for time worked on an hourly basis. The work schedule for this role will consist of an average of 20-25 hours per week for an anticipated period of one year beginning in August 2024 and ending in August 2025.Due to the part-time/temporary nature of this work, this is not a benefit-eligible position.
The part-time/temporary Chicago Builds Program Support role will be held accountable for the following responsibilities:
- Complete administrative support tasks such as:
- Working closely with program administrators and staff to organize files, create and/or distribute correspondence, and prepare reports or documents, includingdigital media presentations for program promotion, advertisements, and meetings
- Managing calendars, scheduling meetings, assisting with event/meeting planning, set up and facilitation
- Sorting mail, preparing invoices, answering phone calls, and providing customer support to office visitors
- Assist with data entry to track and maintain accurate records of student information such as:
- Ensuring that program applications are complete
- Recording daily student attendance, andproviding accurate attendance updates via email to schools where students hold official enrollment (CPS Charter)
- Assist with entering grades and generating grade and progress reports
- Assist with program-aligned tasks:
- Manage the distribution of student bus cards and maintain related records
- Support logistical efforts for pre-screen and pre-transition assessments
- Maintain activity schedules andassist with coordinating and facilitating field trips
- Assist with partner communication/discussions and provide support with partner engagements, such as the coordination and set up for partner presentations or accompanying students to partner site visits
- Participate in student recruitment events both on and off campus, such as assisting with the set up of school or network fairs/other events, and/or facilitating informational sessions at area schools
- Assist with program-related data collection and alumni coordination, tracking, and follow-up
- Support the Seniors Program Manager withall efforts aligned to the timely reporting of the program’s participant information and programmatic and service impact and outcome metrics
- Assist in the coordination and execution of services required to maintain grant compliance with outside organizations (ex: IL Works), including but not limited to.
- Coordination of outreach and recruitment activities to increase the number of students participating in Chicago Builds and its various initiatives
- Coordinate wrap-around services for student support (ex. resume writing) Assist in coordinating student support services (ex. tutoring, test prep)
- Transition services connecting participants to post-high school career training resources
- Additional duties as assigned
In order to be successful and achieve the above responsibilities, the part-time/temporary Chicago Builds Program Support role must possess the following qualifications:
Education Required:
- Associate degree from an accredited college or university is required
- Bachelor’s degree from an accredited college or university preferred
Experience Required:
- Minimum of two (2) years of relevant professional experience, including the following, is required:
- Minimum of one (1) year of experience providing direct student-facing educational or programmatic support, such as in a tutor or classroom assistant position
- Experience in a role responsible for completing administrative duties and providing related support
- Experience working in or with educational institutions, and experience in marketing, recruitment, and project planning/management, preferred
Knowledge, Skills, and Abilities:
- Strong interpersonal, verbal, and written communication skills
- Effective organizational and time management skills; capable of shifting focus and supporting multiple projects or workstreams to completion simultaneously while maintaining high levels of attention to detail
- Ability to build collaborative relationships with a variety of constituent groups, including internal and external partners, to ensure program and student success
- Basic computer skills, including the ability to use common programs such as Microsoft Office, Google Workspace, etc.
- Ability to define problems, analyze data, and outline valid conclusions and action steps
- Capable of accurate data entry and maintaining detailed, organized records
- Strong project management skills
Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
Establish/Maintain Chicago Residency- Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
