Position Purpose
The primary purpose of the Campus Assistant Director is to support the Campus Executive Director in overseeing the daily administrative operations of the school, ensuring smooth functionality across all departments. This role involves monitoring compliance with accreditation standards, as well as state and federal regulations, to uphold the institution's integrity and reputation. By facilitating effective communication and coordination among staff, the incumbent plays a crucial role in maintaining a compliant and efficient educational environment.
Key Competencies:
- Provide comprehensive administrative assistance to the Campus Executive Director, including scheduling meetings, managing communications, and maintaining organized records to facilitate efficient campus operations.
- Oversee the implementation of state, federal, and internal compliance guidelines, conducting regular audits and assessments to ensure all departments meet accreditation requirements.
- Coordinate with various departments to promote compliance awareness and provide training on relevant policies and procedures, fostering a culture of accountability and adherence to standards.
This position is essential for maintaining campus compliance with relevant regulations and standards, ensuring that all operations align with institutional policies. By closely monitoring compliance requirements, the role helps mitigate risks and fosters a culture of accountability across the campus. Additionally, this position provides crucial support to the Executive Campus Director, assisting in administrative tasks and strategic initiatives to enhance overall campus efficiency and effectiveness.
Job Responsibilities
- Supervise campus departmental personnel, including Financial Aid, Bursar, and Career Services, while serving as a liaison between campus and corporate program directors for audits and training. Act as a secondary supervisor for student services and assist the Director of Admissions with Receptionist oversight.
- Support the Executive Director in monitoring the productivity and performance of the Admissions and Education departments, ensuring alignment with institutional goals.
- Track employee attendance, vacation, and sick leave; assist in implementing new policies and updating the company Policy & Procedure Manual as needed.
- Ensure timely submission of reports from Campus Vue as requested by the Executive Director and facilitate the advertising of employment vacancies with Corporate.
- Provide backup support in the Financial Aid, Bursar, Registrar, and Student Services departments during staffing vacancies, while ensuring smooth communication and data flow among all departments.
- Assist with Accreditation, State, and IPEDS reports, and address student and staff concerns, keeping the Executive Director informed of any significant issues.
- Support payroll processes by organizing employee hours and signing off on submissions, and assist in the review of employee grievances, ensuring the Executive Director is aware of any matters.
- Serve as a liaison between the school and Corporate HR for any HR-related inquiries, reporting employee medical conditions that may affect eligibility for FMLA, ADAAA, or other leave types.
- Maintain positive relationships with staff and students, uphold the school's standards, and demonstrate flexibility in working hours, including evenings or weekends as needed.
- Collaborate with Corporate Marketing on social media projects and be open to relocation if required. Perform any additional duties assigned by the Executive Director.
Required Qualifications
- Bachelor’s Degree
- Minimum two (2) years office management or admissions experience, minimum of one(1) year in a proprietary academic environment
- Proven, excellent interpersonal communication skills and ability to work with a diverse employee and student population
- Must be highly organized, able to multitask, and be a self-starter who can work independently and with a high degree of confidentiality
- Position requires business aptitude, sales skills, and strong work ethic
- Strong student-centered focus; commitment to student satisfaction and success
- Effective problem-solving and decision-making abilities
- Excellent verbal and written communication skills
- Strong MS Word, Excel, Outlook skills
Preferred Qualifications
- Working experience at Centura, AIM or Tidewater Tech
- Campus Vue experience
- Social Media or SharePoint experience
