About the Job
The Business Support Specialist will be responsible for coordinating the monthly special events for three outside offices as well as a wide range of duties related to corporate communications, print, marketing, human resources, and mail & print center. The Business Support Specialist will contribute to the overall team goals and provide administrative support to ensure efficient operations of the Corporate Communications department.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong organization, communication, problem-solving, customer service skills, and attention to detail are a must.
- Organization skills allow you to prioritize your work and keep track of deadlines.
- Effective communication is essential to your success in this role.
- Strong knowledge and experience with appropriate software including Microsoft Excel, Word, Outlook, and Teams.
- Ability to anticipate needs and complete important tasks without assistance.
- Self-starter who works well independently.
- Minimum of two years' experience in a creative support role.
- Graphic design knowledge is helpful.
- Must be able to lift 20 lbs. or more.
DUTIES & RESPONSIBILITIES
The Business Support Specialist will assist in a wide range of responsibilities, which can include:
Special Events:
- Coordinate monthly special events (lunch, treats, contests...) for the three outside offices (MO, TX, WV)
- Assist with onsite special events such as Employee Appreciation Week, Annual Company Kickoff and Holiday Party (offsite), and miscellaneous tasks for monthly onsite events
Administrative:
- Provide administrative support such as maintaining company phone list, check vendor invoices for accuracy, and schedule and enter due dates for events, print, and mailings
- Typeset new hire posters & name cards and other miscellaneous materials on a weekly basis
- Provide clerical support such as data entry, filing documents, or maintaining records in an orderly fashion
- Maintain records of business transactions such as credit card receipts and vendor invoices
- Proofread advertising material as needed
Promotional Items:
- Coordinate with outside vendors to ensure that products and services meet the company's standards of quality
- Assist with maintaining supply room, inventory, and promotional item spreadsheet
- Research promotional items and place orders for new items
Marketing Campaigns:
- Manage marketing campaign fulfillment from start to finish including ordering supplies and promotional materials, putting together boxes/envelopes, ensuring accuracy in each mailing, labeling with return and USPS labels, taping boxes, and loading up completed boxes or envelopes on a dolly
- Run mailing list for labels including researching return mail, managing budgets for mailings, and maintaining a full sample file
Printing Materials and Quotes:
- File project paperwork accurately and enter all projects into yearly accounting spreadsheet
Perform other related duties as assigned by Corporate Communications Production Manager or Vice President.
