Responsibilities:The Business Operations Coordinator will operate within the Program Management Office (PMO) and is responsible for providing a wide range of complex and confidential administrative support to both line and leadership members of the Space and Mission Engineering team. The selected candidate will be expected to autonomously accomplish day-to-day operations, provide excellent customer service, work well with employees at all levels, take initiative, and execute projects with positive results.
Key Responsibilities:
- Competently and professionally handle information that is sensitive, complex and confidential
- Compose and edit correspondence as authorized, coordinate follow-up and outreach
- Prepare briefing materials for internal and external meetings on behalf of leadership
- Coordinate and manage complex schedule requirements
- Schedule and coordinate travel, conference calls, team meetings, and related activities
- Provide program onboarding assistance to hiring managers, security, and on behalf of the PMO
- Arrange program events/conferences, identify and select facilities, coordinate refreshments, issue information/invitations, and arrange audio/visual//security support
- Collaboratively facilitate and strategize the development of strong working relationships between the Program and corporate representatives within IT, HR, Finance, Facilities and Executive Leadership
- Prioritize and circulate information and documents to appropriate staff, external individuals and organizations
- Function as an Expense Proxy and/or Coordinator, ensuring FTR compliance for the team
- Identify and handle all office/administrative procurement needs
- Maintain the upkeep of printers, copiers, and related equipment to include acquiring/replacing toner
- Manage the purchasing and restocking of the program’s in-house canteen
- Monitor communications (email/mail/phone), as well as forward to the appropriate staff person for action, answer/route telephone calls, transmit decisions and instructions and answering inquiries to aid leadership in the resolution of routine matters
- Remain knowledgeable of corporate policies, systems, goals, philosophies
- Be proactive and anticipate office & team management needs and execute accordingly
- Assist leadership as they tackle the unexpected
- HS with 10-12 years’ experience; or BS with 5-7 years’ experience; or MS 3-5 years’ experience
- Must possess and be able to maintain a TS/SCI. Adjudicated CI Poly preferred.
- MUST be highly proficient with Microsoft Office Suite and competent in using common desktop applications, internal systems, and collaboration tools such as SharePoint
- Demonstrated excellent written and verbal communication and interpersonal skills
- Proven experience in supporting business operations and managing confidential information in a systems engineering, security, IT, HR, or related environment
- Able to manage multiple tasks simultaneously with professional tact
- Able to deliver high quality products and services via a highly proactive approach
- Experienced with improvement and standardization of basic administrative processes
- Demonstrated analytic skills with ability to quickly interpret and organize data and information
- Able to lift or facilitate the lifting of boxes and supplies up to 15 lbs
- Exceedingly well organized, flexible and enjoys the administrative challenges of supporting a program team in a very fast paced environment
