About the Job
Purpose of Position:
This position is responsible for assisting the VP, Business Development with project management and coordination of the RFP process to include brand and concept research, RFP preparation and coordinating assigned activities with graph designers and other stakeholders. This position is also responsible for assisting the VP of Corporate Affairs with identifying new Community Outreach initiatives.
Key Responsibilities:
1. Assist with brand and concept research in markets where the Company wants to pursue opportunities.
2. Assist with Brand follow-up for potential location conversions. Coordinate and set up Brand Meetings.
3. Develop an understanding of how to determine a “go” or “no go” decision to move forward with an airport RFP and participate in this process.
4. Assist with the brand / concept selection process for an active RFP.
5. Assist with RFP preparation (mid-June for MSP) to include, preparing RFP Budget to Actuals.
6. Help Manage the Checklist with sending reminders to the team about deliverables.
7. Participate in RFP update meetings by taking notes and sending follow up correspondence to the team.
8. Assist in communicating with the graphic designers for the RFPs. (Binders, Tabs, Menus)
9. Coordinate on-site printers for the current RFP’s and prepare a binder to read and understand the content. Highlight key points in the RFP and ensure they are a part of the checklist.
10. Assist with identifying new Community Outreach initiatives in new and existing markets with collaboration from GMs and VP of Corporate Affairs.
11. Participate in Airport Outreach Meetings to understand the mechanics of the process including the networking required. Assist with any projects as a result of attending the outreach meetings.
12. Assist with the preparation of a Master List of Community Outreach Programs including spend in existing markets
13. Assist with AMAC event in mid-June (manage invitations and follow up for participation)
14. Complete registration for upcoming airport opportunities.
15. Create v-cards and maintain airport contact list for upcoming opportunities
Decision-Making Authority:
Position would normally be responsible for carrying out assigned responsibilities with only general supervision. Position would be responsible for providing regular reports to department management and necessary operating information to program participants, department staff, and field personnel.
Issues that present complex issues, would have significant impact, or would require changes or broad interpretations of policy or guidelines would be referred to the department or functional executive.

Education/Previous Experience:
Bachelor’s degree or equivalent level of advanced administrative experience. Minimum of five years of experience in program administration, office management, executive secretarial or equivalent experience. Specific experience in the area assigned or an equivalent environment may also be required.
Specific skills required:
Proficient in office automation software, including word processing, spreadsheets, email, etc. Additional skills in presentation or database software may also be required.
Well developed speaking, writing, and telephone skills.
Ability to organize and maintain filing and record-keeping systems.
Knowledge of and ability to apply basic accounting and budgeting concepts.
Initiative and analytical skills.
Language Skills:
Advanced written and verbal communication skills. Ability to read, analyze, and interpret general business correspondence. Create correspondence and memos; ability to interpret documents. Ability to effectively communicate information individually and in group situations to customers, co-workers and staff. Must be approachable and effective with communicating with all levels in the organization.
Mathematical Skills:
Ability to add, subtracts, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.

Ability to apply reasonable understanding in carrying out instructions in written, oral or diagram form. Ability to define problems, collect data, establish facts, and draw valid conclusions.
