About the Job
Position Overview:
The Bookkeeping and Administrative Specialist is responsible for accurate bookkeeping and assisting with accounting processes to ensure the organization’s financial health and compliance with relevant regulations; Oversee office management and assist with onboarding new employees to include training schedules and other onboarding activities.
Key Responsibilities:
Bookkeeping:
- Assist with daily financial transactions, including accounts payable and receivable, payroll
- Maintain accurate and up-to-date transactions in QuickBooks and Centerbase.
- Reconcile bank statements, credit card accounts, and other financial accounts.
Accounting Support:
- Assist with preparing monthly, quarterly, and annual firm reports
Accounting and Tax Preparation:
- Assisting estate administration team with client accountings
- Assist attorneys with tax preparation for clients.
Compliance and Reporting:
- Prepare and submit periodic financial reports to management.
- Assist in audits by providing documentation and clarification as needed.
Office Management:
- Oversee the day-to-day operations of the office to ensure functionality and efficiency.
- Manage office budgets and track expenses.
Administrative Support:
- Provide administrative assistance to firm administrator as required.
- Prepare and manage correspondence, reports, and documents.
HR and Staff Coordination:
- Assist with onboarding new employees, including orientation and training.
- Maintain employee records and ensure compliance with HR policies.
- Assist with team activities, events, and meetings.
Communication and Coordination:
- Act as a point of contact for internal and external clients.
- Develop and implement office procedures to improve efficiency.
Qualifications and Skills:
- Proven experience as a Bookkeeper, Accounting Specialist, or similar role.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Excel.
- Understanding of accounting principles and budgeting processes.
- Excellent organizational and time-management skills.
- High attention to detail and accuracy.
- Strong problem-solving and analytical skills.
Education and Experience Requirements:
- High school diploma or equivalent (required).
- Associate’s or bachelor’s degree in Accounting, Finance, or a related field (preferred).
- 2+ years of experience in bookkeeping or accounting roles.
