About the Job
The Hive Collective Bookkeeper is responsible for maintaining accurate financial records and ensuring that financial transactions are processed efficiently and correctly. This role requires proficiency in QuickBooks Online, attention to detail, and the ability to manage multiple tasks. The Bookkeeper will collaborate with vendors, employees, and various departments within Hive to ensure timely processing of invoices, payroll, and tax obligations.
Key Responsibilities:
Accounts Payable and Invoicing
- Manage timely payment of all invoices.
- Match purchase orders to vendors’ invoices, ensuring accuracy in pricing and quantity.
- Verify receipt of goods and services to confirm the accuracy of vendor billing.
- Coordinate with vendors to address invoicing inquiries and resolve discrepancies.
- Enter invoices for payments and ensure correct approvals.
Financial Record Keeping
- Record debits, credits, and journal entries accurately on a daily and monthly basis.
- Reconcile American Express and other accounts as needed.
- Compile data monthly to assist with the preparation of financial dashboards.
- Maintain organized financial records to support accurate and timely reporting.
Payroll and Employee Expenses
- Utilize and master financial software programs, including QuickBooks Online, LightSpeed, and Paychex Flex.
- Review and process employee reimbursement expenses, ensuring proper approvals.
- Communicate with Buyers and Assistant Buyers to ensure invoices are submitted timely
Payments and Bank Transactions
- Process check runs, initiate wire transfers, and arrange online payments as needed.
- Respond professionally and promptly to vendor inquiries.
- Ensure proper documentation and authorization for all financial transactions.
General Support
- Assist with miscellaneous assignments related to accounting and finance as needed.
- Provide support for internal stakeholders to facilitate smooth financial operations.

Requirements:
- Bachelor’s degree in Accounting, Finance, or a related field.
- A minimum of 2 years of experience in a similar accounting or bookkeeping role.
- Proficiency in QuickBooks Online, Apple software (Numbers, Pages), and Microsoft Outlook 365.
- Strong organizational skills, with the ability to prioritize tasks and work under pressure in a fast-paced environment.
