About the Job
We are seeking a highly organized, empathetic, and detail-oriented Bilingual Legal Assistant to support our attorneys in preparing and managing cases at Arendsen Braddock LLP.
The ideal candidate will be responsible for assisting with drafting documents, managing client communications, and ensuring the smooth functioning of daily operations within the legal team. This position requires excellent communication skills, professionalism, and the ability to manage multiple tasks simultaneously. They will be the face of the firm, and report to our Attorney who oversees pre-litigation for the business.
This person is required to be onsite Monday- Friday at our Solana Beach, California office.
Key Responsibilities:
- Client Communication:
- Serve as the primary point of contact for Setting up new claims, gathering initial insurance information from clients, and providing initial case information to adjusters.
- Responsible for communicating with police departments to gather and follow up on police reports.
- Ensure that all initial case information is gathered from the client, including but not limited to all vehicle insurance documentation, photos, location of incident, and Client’s index information.
Document Preparation:
- Draft, proofread, and edit all initial letters including but not limited to engagement letters, letters of representation to insurance, Medicare, Medi-Cal, City or Federal Government Claim forms, and Police Report requests.
Case Management:
- Set up, organize, and maintain case files, both physical and digital, ensuring all necessary documents are updated and filed properly.
- Adding and updating our Case Management system
- Confirming responses are received from all outgoing letters and following up within a reasonable time.
Administrative Support:
- Answer phone calls and emails professionally and courteously.
- Saving all faxes to the appropriate electronic file.
- Collecting, scanning, and filing all incoming mail.
Liaison Duties:
- Coordinate with external parties.
- Facilitate communication between attorneys for case managers, clients, and adjusters.
Qualifications and Skills:
- Education: Associate's degree or higher in Legal Studies or Paralegal certification is preferred.
- Experience: 1-3 years of experience as a legal assistant or paralegal in a law firm or legal department.
Skills:
- Outgoing personality with a natural flair for communication and relationship building.
- Strong organizational and time management skills.
- Bilingual in English and Spanish
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of case management software
- Ability to work independently and as part of a team.
- Attention to detail and strong problem-solving skills.
- Strong empathy and excellent interpersonal skills; ability to connect with diverse individuals and teams.
- Demonstrated curiosity and eagerness to explore emerging technologies and innovative solutions.
The total annual salary for this full-time position is $50,000- $70,000 + benefits. The salary range was determined by role, level, and location. Individual pay is determined by work location and additional factors including job-related skills, experience, and relevant education or training.
