REPORTS TO: The Assistant Manager reports directly to the Property Manager.
ACCOUNTABLE FOR: The Assistant Manager is accountable for the Leasing Department with direct input from the property manager as needed.
Current Established Responsibilities Are as Follows:
Preparing or reviewing the following:
• Market-ready apartment inventory
• Rental applications, before final approval from Property Manager
• Weekly and/or monthly rental vacancy and activity reports
The condition of model apartments, rental offices, and inspection of vacant apartments will be shown daily.
Assistant in the hiring, training, and consistent follow-up with leasing staff to achieve property rental goals.
Make certain the rental office is always open during the scheduled hours.
Attending all resident activities.
Completing all move-out inspections, mailing damage charges, and necessary paperwork. Communicating with all prior residents regarding any charges via email.
Handling resident complaints and public relations, with the manager’s approval.
Controlling inventory of all supplies, forms, and equipment used by the office.
Assisting Property Manager in enforcing all company policies and procedures affecting property operation.
Prepare renewals for approval, send all lease renewals to residents, email/call for renewal reminders, generate all lease renewals, and counter-sign all renewals.
Following up on micro-market trends concerning rental rates, amenities, and concessions.
Analysis of guest cards, rental rates, move-out surveys, and resident surveys to recommend policy adjustments to meet customer’s needs.
Assuming the responsibilities of the Property Manager when directed to do so by the Property Manager or the Vice President of Asset Management.
Apartment Inventory Control and Scheduling of Make-Readies daily.
Complete Monday WAR report, 8-week projection report, traffic report, unit vacancy report, MMN reports, and TURN reports.
All Monthly Reporting Packages (Except Variance Report)
Move-ins and Move-Outs and New/Former Resident updates in Yardi.
Move outs in YES utilities.
Check Key-Box – Make sure all keys are returned nightly.
Attend all staff meetings for leasing & maintenance staff; prepare follow up memo.
Pet List Updates Monthly in Yardi and posting in maintenance office.
Approve lease applications.
Reconciliation of Leasing Commissions for Leasing Staff prior to payroll.
Follow Up on Changes to Operations Manual and Implementation at Site Level.
The Assistant Manager Must Satisfy the Following Qualifications:
Must be familiar with business office management procedures.
Must have experience in sales or rental techniques and procedures.
Must have some bookkeeping, recordkeeping, and filing experience.
Must have experience in real estate or property management.
Must have experience supervising office and sales personnel.
Must be knowledgeable in the responsibilities and duties of the Property Manager.
Must furnish as least three-character references from responsible people in the real estate or professional fields.
Must have good references as to ability, knowledge in the field and proficiency from previous employers during the previous five (5) years.
Must read, write, speak, and understand English fluently.
Salary
75,000 - 80,000 /year
