Description
Eliot's Early Intervention Program is seeking an Assistant Office Manager. Candidate will have strong administrative skills, excellent communication skills and be committed to working with a quality team of professionals. Bilingual preferred.
Eliot’s Early Intervention Program helps children from birth to three years of age who have developmental delays or disabilities. Serving young children and their families in Everett, Malden, Medford, our Early Intervention specialists provide community based therapeutic intervention utilizing a coaching model with parents and caregivers. The Eliot EI Asst Office Manager provides support to the EI team, as they provide screenings, assessments, center and home visits, child and parent groups, and will provide service coordination for families along with consultation regarding clinical and developmental issues.
The Asst Office Manager will have strong computer skills and knowledge of Google, Excel and Microsoft Word. Professional manner when interfacing with client families is also required.
Responsibilities:
+ Assist in the daily administrative operations of assigned services including establishing work priorities.
+ Assist in resolving problems related to the day-to-day operations of the building maintenance and office equipment.
+ Assist with maintaining accurate Health Insurance information for EI families and run Insurance Eligibility Verification reports on a regular basis.
+ Provide accurate and timely flows of data, financial and insurance benefits information among the families, staff, Accounts Receivable, MCE, the Business Office and other relevant parties.
+ Provide front-desk services including greeting and assisting visitors, answering incoming phone calls, maintaining an accurate sign-in sheet, processing incoming and outgoing mail and meeting coordination.
+ Assist the Program Director in processing payroll time-sheets, sick and annual leave documents, travel reimbursements, access cards, purchasing documents, and/or employment documents.
+ Assist with the implementation of tracking referrals, scheduling assessments, analyzing reports and overall maintenance of the electronic records systems.
+ Provide support with employee hiring by gathering and forwarding background check documentation to HR
+ Create and maintain spreadsheets, calendars and other systems in order to assist with quality assurance measures for the departments. This includes but is not limited to conducting daily insurance checks, satisfaction surveys, updating the electronic medical records and case file auditing.
+ Support Program Director as needed with materials and scheduling for marketing and outreach efforts.
Hours: M-F 9am -1pm
