Assistant Facilities Manager
This position requires a daily onsite presence and is based in midtown Manhattan.
What this job involves
The Assistant Facilities Manager will be part of the team responsible for facilities management, assisting the Facilities Manager and the Client Corporate Real Estate team with the delivery of quality facility management services. This role will coordinate and manage client requirements and service delivery to ensure satisfaction.
Job Responsibilities
- Manage day cleaners and night supplemental cleaning services for NYC area. Responsible for inventory control including ordering, receiving, distribution, budgeting, storing, etc. of all cleaning supplies and products. Manage contract, SLA’s, invoicing, PO’s, etc.
- Be the primary respondent for all service tickets placed by the client and our own team. Ensure that the tickets are acknowledged and completed within our management agreement’s SLAs
- Coordinate with inhouse and external resources (i.e., property manager, contractors, capital project team, engineers, etc.) to schedule and complete the work. Coordination includes but is not limited to collecting COIs, names of vendor personnel, loading dock access, collection of MOPs within governing timeframes, etc.
- Support work being completed in remote sites. Some travel may be required to sites in NYC, CT, Boston, Washington DC, etc.
- Support the Facilities Manager in the implementation of short and long-term projects for the client. Manage Small Projects: office conversation from 1 occupant to 2 occupants, covert conference rooms to multiple occupant offices, pantry upgrades, etc.
- Provide backup coverage when Facility Managers and other AFMs are on PTO. This coverage would include working in NYC facilities while the FMs and AFMs are on PTO from 1 day to 5 days at a time.
- Support and implement innovative programs, processes and procedures that reduce short and long-term operating costs and increase productivity by working closely with the Facility Management Lead and the client.
- Daily quality control inspections resulting in work order generation to immediately address issues identified
- Participate in creating monthly/quarterly/annual and ad-hoc reporting appropriate for the client
- In partnership with the Finance Team, assist in the development of monthly/quarterly variance reporting on all operating budgets for each property on a timely basis. Assist with the development and implementation of the annual management plan including operating budgets for the facilities within the region
- Regular after-hours and weekend work may be applicable
- Any and all other duties and tasks as assigned

- Bachelor’s degree or equivalent work experience in Facilities Management with management/technical emphasis a plus
- Minimum of 3 years Facilities Management industry experience required either in the corporate environment, third party service provider or as a consultant
- Strong organizational and management skills
- Knowledge of real estate, telecommunications, furniture, accounting and building systems helpful
- Excellent verbal and written communication skills
- Fluency in Spanish is helpful
- Proficient in MS Office, and MS Share Point
- Computer proficiency in CMMS tools and work order management
- Purchase order creation, proposal requests, invoice review of completed work.
- Vendor management during normal and off hours including weekends when necessary
- Must have strong Teamwork, Ethics, and Excellence (JLL core behaviors)
- Ability to travel to other work sites
- Ability to work after business hours and on weekends
Estimated total compensation for this position:
75,000.00 – 90,000.00 USD per yearThe total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
