The Purchasing and Inventory Specialist will be part of the Inventory Team; with core functionalities focusing on the inventory management of all Pharmacy locations. The position’s main focus is the oversight of purchasing for all pharmacy locations, along with generating timely reports critical to inventory needs. This position will also review key metrics set forth by management and ensure purchasing process follows inventory objectives and goals. This position is also responsible for Omnicell administration. This position facilitates the management of medication inventories by; making sure drug product is within date, rotate inventory as necessary, stored within USP guidelines, timely and accurate stocking of daily wholesaler deliveries.
Responsibilities
- Planning, organizing, and implementation of all purchasing and inventory related functions
- Plans optimal ordering patterns based on individual vendor attributes
- Coordinates vendor ordering attributes for optimal pricing strategies
- Places daily inventory items order for all pharmacy locations
- Responsible for keeping accurate inventory records
- Improve the accuracy of metrics such as inventory valuation, expired medication waste, and inventory audit count accuracy
- Coordinates with Pharmacy staff to ensure fulfillment of daily orders
- Improve maintenance of pharmacy inventory systems
- Responsible for tracking dropship medications
- Involved in audits counts of inventories including counting, investigating, and rectifying discrepancies
- Maintain filing system for daily transaction documents
- Process appropriate paperwork for transferring medication and supplies
- Orders all ancillary supplies for each pharmacy location
- Generates report looking at upcoming expired inventory items for all pharmacy locations, transfers inventory items and works with coordinator to ship
- Coordinates with vendor analyst on discussing and resolving any inventory related issues
- Coordinates inventory and remediation of excess pharmacy inventory
- Coordinates inventory planning and purchase approval process for inventory projections
- Assists in the insurance desk audit process
- Integral part of the physical inventory process
- Manages Omnicell inventory items, including but not limited to, utilization, optimization, audits, expired inventory items, Out of Stock, issues
- Manages all Omnicell requests, including adding new users, utilizations, service issues, and cabinet connectivity.
- Ensures automated dispensing canister fills are scheduled and inventory items are ordered
- Reviews inventory of automated controlled inventory cabinet
- Generates report reviewing all canister meds, evaluates inventory items not on LTC contract and swaps
- Reviews Wholesaler Opportunity report and makes necessary NDC changes for each pharmacy location
- Manages out of stock and short supply inventory items
- Adds new items to pharmacy inventory systems
- Generates automated dispensing inventory reports and performs maintenance and updates on inventory items
- Manages Pharmacy Cost Updates
- Adds any NDCs to system related to backup pharmacy utilization.
- Establishes priority and sequence of purchase order approvals to ensure key suppliers receive PO’s in a timely fashion
- Integrates inventory metrics exception alerts into daily and weekly order creations
- Ensures compliance with policies and procedures.
- Performs other tasks as assigned by management
- Travel up to 15%
Qualifications
- Bachelor degree preferred, high school diploma required
- 1+ year(s) inventory experience, preferably in pharmaceutical field
- Procurement and Inventory Control background
- Proficiency in desktop analytics, with emphasis on Microsoft Excel
