POSITION SUMMARY
Provide leadership and project management for our internal teams and external Clients specifically dedicated and focused in the application development and Clinical areas.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Client / Team Management:
- Provide team leadership and direction in all facets related to the department and its resources, including but not limited to:
- Measuring and reviewing employees against their established job descriptions and assigned duties.
- Developing training plans and actively maintaining involvement in continued team growth through a training / reinforcement process.
- Directing team members in meeting Client and company objectives
- Actively manage resource tasks and time, ensuring appropriate time management utilizing tools such as Zendesk and Monday.com.
- Develop and maintain tools and processes that can be used to improve the team in the areas of quality & technical efficiency
- Consistently set and work towards the accomplishment of team goals
- Provide timely reports and frequent communication to management regarding team activities and goals.
- Maintain a positive relationship with the team, reinforcing processes and mentoring in any areas where needed
- Recruit, mentor and develop operational resources and nurture an environment where they can excel through encouragement and empowerment.
- Maintain Client satisfaction, loyalty and retention, through dedicated engagement and communication efforts designed to meet Client expectations.
- Identify trends, compile reports and proactively work to mitigate issues through the analysis of service metrics, and other available key indicators.
- Develop and/or enhance procedures, policies and standards and ensure resources are versed on, and actively practicing departmental protocols.
- Take ownership of, prioritize and mitigate Client issues, determining need and directing resources to support these efforts, following problems through to resolution.
- Control resources and utilize assets to achieve qualitative and quantitative targets.
Project Management:
- Ensure that Projects are correctly worked to the desired requirements, holding assigned team members to be accountable to their project responsibilities in all areas of the project including but not limited to:
- Time accounting
- Task completion
- Project communication
- Quality
- Sign-off
- Develop, edit and/or review Scopes of Work & Project Plans to:
- Ensure plans and materials meet expectant deliverables
- Align with Client requirements and operational capabilities
- Ensure GBS capability of achieving profit targets
- Ensure proper billing of projects occur
- Maintain expert-level knowledge of Project Management tools such as Monday.com & Zendesk.
- Maintain and monitor project plans, project schedules, work hours, budgets, and expenditures of GBS vertical sales of new products, updates, and associated products
- Initiate, organize, attend, and participate in stakeholder meetings: discovery meetings, maintaining Development / Implementation project plans, QA signoffs, post-implementation interview follow-ups
- Document and follow up on important actions and decisions from meetings
- Act as the overall liaison between the Client and GBS; oversee the development and maintenance of quality plans and Scopes of Work
- Chair and facilitate meetings where appropriate; prepare necessary presentation materials; distribute minutes to all project team members
- Create a project management calendar for fulfilling each goal and objective; ensure project deadlines are met
- Determine project changes
- Provide administrative support, as needed
- Undertake project tasks, as required
- Develop project strategies
- Ensure projects adhere to frameworks and all documentation is maintained appropriately
- Assess and Communicate with Key Stakeholders and Management project risks and issues and provide solutions, where applicable
- Ensure stakeholder views are managed towards the best solution
- Maintain knowledge and documentation of Client's Contacts and environments associated with Projects
- Generate revenue accountability through time and material review
Relationship Management
- Work closely with GBS partners, affiliates, internal teams and verticals operating within designated and/or assigned areas of expertise to:
- Develop organizational relationships
- Establish lines of communication and process
- Assist and support sales activities, including performing presentations, project kick-off, and attending Client meetings when/where needed.
- Provide and/or facilitate cross-training and education
- Support operational efforts related to consulting, implementation and/or support services as it may be determined applicable.
- Stay current with the business direction and provide recommendations and operational influence where appropriate.
- Promote Products and services positively
General Management
- Ensure leadership is kept apprised of departmental activities, progress on goals, and adherence to measures by providing communication, substantiating materials, and/or reports as they may be applicable.
- Ensure leadership is kept aware of risks or perceived threats to business operations.
- Assist other team managers as needed, maintaining a constant and positive open line of communication that promotes and builds team continuity and resource sharing when and where needed.
- Determining short- and long-term resource requirements
- Develop, implement, and monitor key performance metrics to ensure quality and efficiency in all business processes
Technical Competencies
- Have and/or obtain a general understanding of the technical competencies required to design and develop NextGen templates/content utilizing NextGen's content development tools.
- Have and/or obtain a general understanding of Microsoft SQL, such as performing basic queries and developing basic triggers and stored procedures as they may be required to query, insert, and alter data related to NextGen templates/content.
- Have and/or obtain a working knowledge of interface standards, including HL7 and X12, and industry tools used to transform data and facilitate interface connectivity, such as Mirth and NextGen Rosetta.
- Stay current with industry trends and maintain a knowledge of GBS Healthcare products and solutions.
- Other duties as assigned
QUALIFICATIONS (Knowledge, Skills, and Ability Requirements
- 3+ years of business experience in Healthcare Operations, Healthcare MTS, Clinical Training, or equivalent business experience.
- Working knowledge of Microsoft SQL
- Familiarity with NextGen software, specifically EHR, EPM, Rosetta, and NextGen content creation tools.
- Familiarity with Healthcare interface technology (HL7, X12, FHIR)
- Good communication skills, including verbal, written, interpersonal, and listening.
- Good organizational and planning skills.
- Ability to work independently and within a small team
- Advanced problem-solving abilities
- Exceptional multi-tasking and time management skills
- Logical business judgment combined with good decision-making skills.
- Working knowledge of operating systems used in vertical.
- Extensive knowledge of Microsoft Office (PowerPoint, Word, Excel), Zendesk, and Monday.com.
- Working knowledge of general office equipment.
- Periodic travel availability (as required). Travel to client or prospect sites is required and may require air/overnight travel. While this position is primarily based in the office, spikes in service may require travel for special projects that can occur.
