**General Purpose:**
ith minimal direction and considerable latitude for independent judgment, perform routine and non-routine duties requiring strong customer service as well as advanced admissions and program knowledge. Serve as the first point of contact at the reception desk of the Admissions and Programs Office providing concierge-type service to visitors, applicants, admitted, and enrolled students to further enhance their Simon Business School experience. The position is fully in-person (5 days per week) and will report to the Director of Admissions Analytics.
**Responsibilities:**
Prospect and Applicant Management/Current Student Engagement/Admissions Counseling (45%)
+ Serves in an admissions counseling role, with independent judgment, strong program knowledge, minimal input, and excellent customer service; qualifies incoming prospective student leads (email, phone and walk-in) based on fit for Simon and candidate interest level, with most candidate questions answered/supported without additional referrals
+ Provides front-line sales and customer service to promote Simon’s degree and non-degree programs with the goal of getting all prospects and applicants to submit their best application
+ Manages the primary admissions email account and replies to 90% of inquiries from prospects and applicants regarding the application process, programs, policies, School, University, and the city of Rochester
+ Facilitates prospective student, applicant, and admitted student connections with deans, department directors, students, Simon faculty, admissions officers and alumni depending on situation and need
+ Processes applications during high volume periods around application deadlines and completes incomplete applications
+ Assists in the onboarding process for collecting, verifying, and updating in Slate the official test scores and official transcripts for all incoming students; staffs Admissions Check-ins to serve this purpose
+ Maintains and cultivates strong relationships with constituents and key stakeholders across Simon Business School and University of Rochester
+ Participates in special on-campus functions for prospective students such as recruiting receptions and yield events
+ Assists with review of website content and notifies appropriate staff of outdated information
Front Desk Manager (30%)
+ Exercises a high degree of strong interpersonal skills, customer service, and judgment to manage the visitor experience. Accountable for greeting and ensuring all visitors – including but not limited to prospects, applicants, admitted students, current students, staff, faculty, deans, and alumni across both Simon Business School and the University – receive proper services upon arrival to the Admissions and Programs Office
+ Responsible for primary phone line for the Simon Business School, answers all questions from prospects, applicants, and admitted students; triages calls as appropriate
+ Develops process improvement plans as appropriate to enhance client relations
+ Handles and sorts all incoming and outgoing mail
+ Maintains office-wide vacation calendar and communicate anticipated out-of-office schedules
+ Assembles and ships mailings, as needed
+ Maintains front desk operating procedures
+ As a valued member of the team, assists in interviewing candidates for employment in the office, as needed
Visitor Services (15%)
+ Provides pre-visit and on-site support and services on behalf of the Admissions & Programs Office for individual prospective student visitors or large Admissions events
+ Assists the Event Manager(s) in preparing and developing materials for large on-campus and off-campus admissions events, including name tags, name tents, folders, welcome packets, etc
+ Assists in the on-boarding process for incoming students, including answering their questions about offices on campus, directing students to other on-campus departments, and related activities
+ Prepares expense reports for student ambassadors
Other duties and special projects as assigned (10%)
**Qualifications:**
+ 3-5 years of work experience required
+ Strong customer service
+ Ability to exercise good judgment in decision-making
+ Ability to work independently and with a high degree of accuracy in a fast-paced environment
+ Reliability and punctuality
+ Strong personal selling and communication skills
+ Advanced computer and administrative skills including Microsoft Office and experience with CRM database systems
+ Bachelor’s degree required or equivalent level of experience
+ Strongly prefer 3-5 years in a customer service/sales-oriented environment

**Pay Range**
Pay Range: $18.27 - $33.65 Hourly
