General Purpose:
Provides clerical support for nurse liaisons and admissions functions. Collaborates compilation of medical records and other information required to complete the admissions process with nurse liaisons, business office personnel, customer service representatives (i.e.; case managers, social workers, etc.) and assist Admissions Director.
Essential Job Functions
This facility expects their employees to promote an atmosphere of teamwork with other employees and hospitality and comfort for its residents. Therefore, the following list of duties is not all-inclusive:
Provides potential residents and/or their representatives with all appropriate forms and information required for admission process.
- Signs and completes all admission forms.
- Reviews facility arbitration agreement with every admission and documents the acceptance or declination per Company protocol.
- Submits admission forms to the appropriate facility prior to admission.
- Obtains all required insurance cards during admission..
Copies medical records from referring facility and faxes/hand delivers copies to the appropriate facility.
- Delivers all information within minutes.
Contacts potential residents and/or their representatives to schedule appointments for completing required admissions forms (via phone or in person).
- Makes contact within 15 minutes after notification (leaving telephone messages for return call is considered contact).
Assists the Admission Director in obtaining authorization/pre-certification for admissions.
- Provides insurance companies with faxed medical records when requested.
Enters resident admission information.
- Ensures that data is accurate and complete.
Receives admission information via telephone, fax, or hard copy and routes information to appropriate departments/staff.
- Relays information within one hour of receipt.
- Follows up for verification of receipt by appropriate party.
- Pulls referral from portal several times daily and before they leave, then immediately reports to the Director of Nursing.
Answers telephone calls that come into admissions office, provides general information, and routes calls appropriately.
- Answers calls in a timely manner.
- Routes call correctly with minimal customer complaints (less than 1 per month)
Minimum Qualifications
- High school diploma or General Education Degree (GED); and one to three months related experience and/or training.
- Ability to read and comprehend instructions. Ability to write simple correspondence. Ability to present information in one-to-one situations.
- Organized and detailed in work performance.
- Good communication skills with excellent self-discipline and patience..
- Basic computer, keyboard and telephone skills.
- Ability to work with detailed, confidential information in a consistently accurate and appropriate manner.
- Basic knowledge of medical terminology
- Genuine caring for and interest in elderly and disabled people in a nursing facility.
- Comply with the Residents' Rights and Facility Policies and Procedures.
- Perform work tasks within the physical demand requirements as outlined below.
- Perform Essential Duties as outlined above.
