About the Job
Our client, a rapidly growing independent, fee-only advisory firm in Rockville, MD is looking for an onsite Administrative Coordinator who is excited to learn and grow within the firm.
**Candidates must live within 25 miles of Rockville, MD as this is an onsite position.
What you will be doing:
- Reception Duties: Answering phones, greeting visitors, and handling incoming and outgoing mail
- Administrative Support: assist the CEO and portfolio managers with preparation for client meetings, scheduling and sending meeting reminders, and other projects as assigned.
- Office Supplies & Inventory Management: Monitoring inventory levels, ordering supplies as needed, and ensuring any shortages are addressed promptly.
- Facility/Vendor Management: Ensuring office cleanliness, managing maintenance requests and managing online bill payments.
- Communication: Distributing memos, creating the quarterly newsletter, maintaining internal communication channels.
- HR: assist in managing employee benefits as well as other ad hoc projects.
- Event Planning: Organizing office events, meetings, and employee activities.
- Budget Management: Assisting in budget preparation and monitoring expenses.
- Project Assistance: Providing support for various projects and initiatives as needed.
Qualifications:
- 1-2 years of administrative experience
- Desire to learn and grow in the financial advisory industry
- Integrity, honesty and high ethical standards
- Excellent written and oral communication skills
- The ability to work independently and multitask
- Organized, detail-oriented and proactive
- Possess excellent customer service skills
- High Proficiency in Microsoft Office Suite, Adobe Acrobat; PowerPoint and InDesign a plus
