We are seeking an Administrative Coordinator for our Real Estate Utilities team to ensure accurate data entry and management of vendor relationships. This role focuses on vendor management, utility process oversight, and enhancing communication between Real Estate and Seasonal Housing Management. You will play a pivotal role in maintaining the efficiency and accuracy of our utility operations. This will be located as a hybrid position at our Gilbert, AZ home office.
Responsibilities:- Ensure accurate and thorough data entry into the company’s CRM and other management systems.
- Review and analyze vendor invoices for accuracy and efficiency, confirming appropriate usage.
- Act as a liaison between Real Estate and Seasonal Housing Management, facilitating effective communication and collaboration.
- Monitor and maintain quality processes concerning utility management, engaging with vendors and utility partners as needed.
- Utilize online portals to create payment entries for monthly utilities.
- Ensure the timely and consistent completion of daily tasks within the Housing/Real Estate Management sector.
- Maintain comprehensive knowledge of company policies and procedures to ensure compliance.
- Perform other duties as assigned to support the team and organizational goals.
Qualifications:
- Ability to effectively manage and coordinate simultaneous projects, prioritizing tasks for seamless execution.
- Proficiency in Microsoft Excel, including experience with formulas and Pivot Tables.
- Strong meticulous attention to detail, with a commitment to producing consistent high-quality results.
- Outstanding verbal and written communication skills, ensuring clarity and professionalism in all interactions.
- Excellent problem-solving skills with a focus on troubleshooting and root cause analysis.
- Superior organization skills to manage workflows and tasks effectively.
