Administrative Coordinator - ( STA014535 ) Organization : H0117 Pharmacological & Pharmaceutic Description The Department of Pharmacological and Pharmaceutical Sciences is seeking a friendly, talented individual for an Administrative Coordinator position, suited for those at the beginning of their career journey, who is willing to provide support in the following areas: - Serves as a front desk contact to assist guests, faculty and students with daily administrative requests
- Coordinate, execute, and track equipment purchases, supply orders, and service contracts through requisitions, purchase orders, and voucher payments
- Review and process travel and other expense reimbursement requests for faculty, students, and guests speakers to ensure compliance with applicable State and UH policies
- Provide support for meetings and special events hosted by the department (i.e. schedules meeting rooms, invites participants, order refreshments and coordinate other logistics)
- Process work orders, building access requests, and other operational activities as needed
- Creativity and organizational skills is a plus
- Department is willing to accept education in lieu of experience
Coordinates the administrative operations of a department, including, but not limited to, human resources, payroll, telecommunications, building maintenance, and property inventory. - Coordinates personnel administration including employee sign-up, faculty folders, payroll and implementation of related policies and procedures.
- Coordinates department administrative operations, including telecommunications, physical plant work orders, long distance codes, parking permits and ID card requests.
- Maintains personnel records such as employee information, timesheets and lost time reports; tracks status of submitted personnel and administrative forms.
- May coordinate and compile information for various programs and activities for faculty and graduate students.
- Oversees the work assignments of clerical staff and coordinates daily office operations.
- Coordinates all aspects of space management and conducts property inventory for the department.
- Reviews personnel and administrative documents for adherence to university regulations prior to obtaining certifying signature.
- Assists faculty, staff and students with personnel and administrative issues; serves as departmental liaison to administrative departments on campus.
- Performs other job-related duties as required.
