POSITION SUMMARY
The AvantGarde, LLC (AG), Administrative Assistant provides basic clerical and administrative support to the AG client on site within the United States Capitol Police and Office of Information Systems. One day per week telework is allowable after a suitable acclimation period; however 5 days per week onsite should be expected.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Perform basic front desk administrative duties: receiving and distributing mail, filing materials and making photocopies.
• Serve as timekeeper for approximately 30 Federal employee staff using USCP’s current timekeeping system (Infor Workforce Management), to ensure all timecards are received, verified and have all required information. Maintain, track and file time & attendance (T&A) records.
• Scanning and uploading materials into pre-created folders in SharePoint and/or MS Teams.
• Collect and maintain up-to-date Division Personnel information. Most notable documents are OIS’ organizational chart, office phone list and emergency contact lists.
• Facilitate occasional leadership administrative request. Common examples include reserving conference rooms, revising PowerPoint slides for presentations.
• Support Associate Director with tracking IT equipment assignments of approximately 17 contractors.
• Monitor office supply inventory, keep track of office supply inventory list and prepare quarterly office supply orders
• Fulfill printing requests (such as for business cards or glossy materials).
• Process physical door access/entry requests to support OIS’ Security Managers in tracking and revising (in accordance with USCP’s Security Service Bureau (SSB) policies).
• Performs other administrative tasks as assigned.
QUALIFICATIONS, KNOWLEDGE, AND SKILLS
• High School Diploma is required; GED may be substitute
• At least 1-2 years of experience providing general basic administrative support.
• Basic Proficiency using the MS Office suite of applications (Excel, Outlook, Word and PowerPoint).
• Quick learner on MS Visio, SharePoint and M365 (most notably Teams).
• Possess a strong Attention to detail.
• Must possess and demonstrate good customer service skills.
• Proactive posture to seek information (remotely or in person) to be successful in any of the ESSENTIAL DUTIES AND RESPONSIBILITIES
• Flexibility in the approach to the delivery of work.
• Must be detail oriented, with good organization and time management skills.
• Must be skilled in the use of common office equipment, including but not limited to copy, fax, and scanning machines.
Other Specifications
• Must be willing to work on site, full-time, in Downtown DC. No remote support permitted.
• Must be able to report for work M-F, 5 days a week. Alternative flex schedule allowed within normal work hours (i.e. between the hours of 7 am – 6 pm).
• Must be able to obtain a Public Trust clearance post USCP fingerprint/criminal background check process unique to USCP. (Note, USCP does not follow the federal clearance process.)
