KBFS is seeking an Administrative Assistant to support our Temple, TX, location.
Military experience is a plus.
Job Description:
This position will require extensive interface with customers and requires people skills and organizational abilities, with a particular emphasis on customer service. Be able to perform a variety of complex, routine, clerical, and administrative tasks. Duties may include one or more of the following: performs special tasks or studies to improve work flow or simplify reporting procedures; analyzes office operating practices of a particular office or department, such as record keeping, form control, and performance standards, to create new systems or revise established procedures; coordinates the collection and preparation of operating reports, such as time and attendance records or other statistical records of performance data; prepares reports and recommends solutions to administrative problems. Duties may include limited administrative and supervisory responsibilities.
Responsibilities:
- Performs a wide variety of administrative support duties.
- Customer service tasks, relaying, resolving routine telephone, and walk-up inquiries.
- Scheduling calendar items and meetings, generating a variety of standard documents and correspondence, processing forms, performing data entry, and establishing and maintaining records.
- Receives and processes standard materials appropriate to the assigned department, e.g., correspondence, memos, agendas, minutes, charts, permits, legal documents, orders, requisitions, ordinances, reports, and manuals.
- Performs a wide variety of data input assignments that may be confidential in nature.
- Operates a computer to enter data, draft, edit, revise, and print letters, tables, reports, and other materials.
- Greets and directs visitors and customers, as and when appropriate; resolves routine
- Receives inquiries and requests from the general public and business community through friendly, professional customer service skills, ascertains the needs of the customer, and provides appropriate assistance and information; responds to escalated customer service issues.
- Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters.
- Sorts, screens, and distributes incoming and outgoing mail; drafts or prepares responses to routine inquiries; prepares photocopies and facsimiles; and operates a variety of office equipment.
- Establishes, maintains, processes, and updates files, records, certificates, and/or other documents.
- May order, stock, and distribute office supplies.
- Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining one or more individual schedules.
- Backup to and assist the site Program Control Analyst on an as-needed basis.
- Performs other duties as directed.
Qualifications:
- High School Diploma.
- Bachelor's Degree in business-related or equivalent experience.
- Must have 2 years of related experience.
