WestLand is currently adding a fulltime Administrative Assistant to our team of industry leading professionals! The ideal candidate will be someone that is self-motivated, enjoys learning, and is an excellent communicator. This position works with WestLand's Cultural Resources teams across the West. This position will be based out of WestLand's Mukilteo office and will require the successful candidate to be in-office two or more days per week.
What will I be doing?
- Assisting with the management of the office including minor purchasing, vendor coordination, and the planning of office meetings or activities.
- Preparing a variety of documents including master agreements, sub-consultant agreements, notices to proceed, and project change orders.
- Tracking and reporting of expenditures.
- Assisting project managers with project related documentation and reporting.
- Assisting in the scheduling of field crews.
- Working with project managers to ensure field crews are appropriately provisioned with vehicles and equipment.
- Booking travel and accommodations for field crews.
- Maintaining an inventory of field equipment and arranging for maintenance as necessary.
What qualifications are required for this role?
- A high school diploma or equivalent is required. An Associate or Bachelor's degree is preferred.
- Three (3) or more years of experience in an administration role.
- Demonstrated proficiency in the Microsoft Office suite of products (Word, Excel, Teams).
- Prior experience with the Deltek VantagePoint software would be considered an asset.
- Ability to prioritize and manage multiple projects requests, often with competing deadlines.
- Ability to complete tasks on time and within expectations with minimal or no supervision.
- Excellent written and verbal communication skills.
The wage range for this position is $25 - $28.50 per hour.
