Pay Rate: $25-$28/hour
Schedule: Monday - Friday, 9am-2pm
Description of Position:
We are looking for a versatile and detail-oriented Administrative Assistant who can wear multiple hats, providing support across bookkeeping, general office administration, and operations oversight. The ideal candidate will assist with following up on past-due invoices, payroll processing, ledger finalization, and scheduling appointments, as well as helping to prepare contracts and proposals. This part-time position offers the opportunity to transition into full-time as responsibilities grow. Ideal candidate would be someone who is curious and can be flexible with different job tasks that are assigned. At times, will be the only one in the office so will need to be comfortable working independently. Must be comfortable with dogs that are sometimes in the office.
Key Responsibilities:
- Provide bookkeeping support, including finalizing ledgers, reconciling accounts, and following up on past-due invoices.
- Assist with payroll processing, including coordinating and ensuring checks are cut monthly.
- Handle general office administrative duties, including answering phones, managing emails, and scheduling appointments.
- Assist in managing daily operations and provide oversight to ensure smooth office functioning.
- Prepare, review, and distribute contracts, proposals, and other key documents.
- Maintain organized records and filing systems, both digital and physical.
- Collaborate with management on various tasks to support business operations and workflow.
- Perform other administrative and operational tasks as needed, adapting to shifting priorities.

Qualifications:
- Proven experience in administrative roles, with some experience in bookkeeping
- Proficiency in Office Suite (especially Excel and Word).
- Excellent organizational skills and ability to manage multiple tasks effectively.
- Strong communication skills, both written and verbal.
- Ability to work independently and take initiative in completing tasks.
- Experience with contracts, proposals, or procurement processes is a plus.
- Flexibility to adapt as responsibilities expand with increased workload.
