About the Job
Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role requires excellent communication skills, attention to detail, and the ability to multitask effectively. The Administrative Assistant will undertake a variety of tasks ranging from managing travel arrangements to organizing and maintaining office supplies and equipment along with other administrative tasks.
Key Responsibilities:
- Greet visitors and direct them to the appropriate person or department.
- Manage office supplies inventory and place orders as necessary.
- Handle incoming and outgoing mail and email correspondence.
- Assist in the preparation of regularly scheduled reports and presentations.
- Schedule appointments and reserve meeting rooms for team members.
- Arrange meetings and conferences, including coordinating catering and other logistical arrangements.
- Assist with the preparation and distribution of memos, letters, and other documents.
- Provide general administrative support to team members as needed.
- Coordinate travel arrangements for management and training groups.
- Arrange and manage accommodations such as housing, transportation and meal ordering for expatriates.
Requirements:
- Proven experience as an administrative assistant or similar role.
- Proficiency in MS Office (Word, Excel, Outlook)
- Excellent time management skills and the ability to prioritize tasks.
- Strong attention to detail and accuracy.
- Exceptional communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong organizational skills with the ability to multitask and adapt in a fast-paced environment.
- A positive attitude and willingness to take on new challenges.
- Associates or Bachelors Degree Required
- Bilingual in Chinese and English is strongly preferred, but not required
