Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide comprehensive administrative support to ensure the smooth and efficient operation of our office. Responsibilities include managing office tasks, coordinating schedules, handling communication, and assisting with various projects.
Key Responsibilities:
Office Management:
- Maintain a clean and organized office environment.
- Manage office supplies inventory and place orders as needed.
- Oversee office equipment maintenance and coordinate repairs.
Communication:
- Answer and direct phone calls and emails.
- Serve as the point of contact for internal and external clients.
- Draft, proofread, and distribute correspondence, memos, and emails.
Scheduling and Coordination:
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Prepare meeting agendas, take minutes, and distribute them promptly.
- Assist in the preparation of regularly scheduled reports.
Document Management:
- Maintain filing systems and ensure confidentiality of records.
- Prepare and edit documents, presentations, and spreadsheets.
- Handle data entry and maintain databases accurately.
Support Functions:
- Assist in organizing company events, workshops, and other activities.
- Provide administrative support to senior staff and other departments as needed.
- Perform additional tasks as assigned by the supervisor.
Qualifications
- High school diploma or equivalent; Associate's or Bachelor's degree preferred.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and office equipment.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
