Administrative Assistant - MP RPO

My client is looking for an experienced Administrative Assistant to join their thriving team of hard-working individuals. Are you an individual who brings a smile and a positive attitude? Are you organized and are used to wearing many hats such as answering phones, ordering supplies, mail tasks, payroll and accounts payable responsibilities? If so, we would love to hear from you.

What you will be doing:

• Oversee general office responsibilities including answering the phone, ordering office supplies, filing documents, scanning files, and managing incoming and outgoing mail.
• Payroll - Collect/organize weekly timecards, obtain proper approvals, and help with data entry in accounting software.
• Accounts Payable - Track purchase orders and match up to invoices received, obtain proper approvals, and help enter into accounting software.
• Collect/organize all Job related paperwork from field staff on a weekly basis and file by Job.
• Coordinate project bidding by helping to obtain specifications, maintaining the bid tracking calendar, requesting bid bonds and certificates of insurance, and coordinating timely mailing/delivery of formal bids.
• Upload Well inspection videos to YouTube as needed.
• Report directly to Controller and assist with one-off research/analysis tasks as necessary.

Our ideal candidate has:

• High school diploma or equivalent.
• Previous experience as Administrative Assistant.
• Strong organizational skills and ability to multi-task.
• Strong communication and customer service skills.
• Proficient with Microsoft Office Suite.

Additional information:

• Annual Salary: $60,000-70,000
• 35-40/hours weekly
